Executive Assistant cum Office Manager – Family Office
A Singapore-based family office is seeking a
resourceful, discreet, and proactive Executive Assistant cum Office Manager to support its principal and family members. Starting with a lean structure, the role is expected to evolve overtime into a high-trust position with broader responsibilities across familyoffice coordination and operations. Current scope would include managing andprioritizing multiple concurrent tasks across family office setup matters and principalpersonal affairs through coordination with various stakeholders in afast-moving environment.
The ideal candidate should be well- organized, trustworthy, and comfortable working in a private,high-standard environment as part of a
small, collaborative team and grow progressively with the team.
Key Responsibilities
- Handle office-based administrative and operational tasks such as entities incorporation coordination, documents filing, expense tracking, communications with third party's vendors.
- Manage calendars, appointments, reminders, and scheduling across personal and professional domains
- Coordinate household logistics, errands, service providers, and property-related matters
- Arrange & manage travel itineraries, including contingency planning
- Provide day-to-day personal support, including family-related coordination and follow-ups
- Assist with the planning and follow-through of corporate meetings and small-scale events

- Tech savvy – able to use A.I tools, calendar systems, messaging tools, travel apps, and task management platforms with confidence

- Good interpersonal skills and professional communication style; respectful of boundaries and confidentiality
Key Requirements
- Prior experience supporting a private HNW individual, family, or senior executive in a blended personal-administrative role
- Intelligent individual with a long-term goal to establish a career in the family office industry
- Fast learner with ability to solve problems independently and manage ambiguity issues
- Working Level Proficiency in both English and Mandarin to communicate with stakeholders and work related parties
- Education & Major: Bachelor's degree or above in any discipline with solid professional knowledge in the business environment
Career Motivation & Learning Ability: Strong interest in the family office industry. Willing to systematically learn and gradually master the business logic of family office establishment,cross-border asset allocation, etc.
