OVERVIEW OF ROLE

The Executive, People and Culture is responsible for supporting the day-to-day operations of the Human Resources department through efficient administration, HRIS management, employee records maintenance, recruitment coordination and workplace experience initiatives. This role ensures the accuracy of HR data, compliance with employment regulations and provides administrative support across the entire employee lifecycle while contributing to a positive and engaging team member experience at NoMad Singapore.

Responsibilities

MAIN DUTIES & RESPONSIBILITIES

The main responsibilities of the Executive, People and Culture are summarised below; however, the list is not exhaustive.

HR ADMINISTRATION & HRIS MANAGEMENT

  • Maintain accurate and up-to-date employee records, personnel files and HR databases in accordance with company policies and regulatory requirements.
  • Prepare and administer employment contracts, confirmation letters, promotion letters, transfer letters, resignation documentation and other HR correspondence.
  • Ensure timely and accurate data entry into the Human Resources Information System (HRIS), maintaining the integrity and confidentiality of employee information.
  • Perform regular audits of the HRIS to ensure employee records, organizational structures and employment details remain current and accurate.
  • Support the maintenance, testing and continuous improvement of HRIS processes and workflows.
  • Generate HR reports and dashboards relating to headcount, turnover, recruitment, leave, and other people metrics as required.
  • Maintain proper filing systems, both electronic and physical, ensuring records are organised, secure and compliant with company retention policies.
  • Assist in maintaining employee master data and documentation for payroll, benefits and statutory reporting purposes.

RECRUITMENT & ONBOARDING

  • Coordinate recruitment activities including scheduling interviews, preparing interview documentation and communicating with candidates.
  • Support hiring managers throughout the recruitment process by coordinating administrative requirements.
  • Prepare employment documentation and onboarding materials for new team members.
  • Coordinate pre-employment requirements, including reference checks, medical examinations and supporting documentation where applicable.
  • Facilitate onboarding activities to ensure a seamless and engaging new hire experience.
  • Maintain recruitment trackers and candidate databases while ensuring timely follow-up throughout the hiring process.

Workplace Experience & Employee Engagement

  • Support the planning, coordination and execution of employee engagement activities, celebrations and recognition programmes.
  • Assist in organising hotel events, team member activities, orientation programmes, wellness initiatives and workplace experience campaigns.
  • Coordinate logistics, communications and administrative support for internal events and learning programmes.
  • Work closely with various departments to promote a positive, inclusive and engaging workplace culture.
  • Support initiatives that enhance employee satisfaction, belonging and team member experience throughout the employee lifecycle.

EMPLOYEE RECORDS & COMPLIANCE

  • Maintain accurate employee records including personal information, contracts, certifications, performance documentation and statutory records.
  • Assist with work pass applications, renewals, cancellations and related government submissions for foreign employees.
  • Monitor probation periods, contract expiry dates and mandatory certifications, ensuring timely follow-up.
  • Ensure HR processes comply with company policies, employment legislation and internal audit requirements.
  • Maintain strict confidentiality when handling employee information and sensitive documentation.

HR OPERATIONS SUPPORT

  • Respond to HR-related enquiries from team members in a professional and timely manner.
  • Support payroll administration by ensuring accurate employee data and documentation are submitted within required timelines.
  • Assist with leave administration, benefits enrolment and other employee lifecycle processes.
  • Prepare reports, presentations and administrative documents for management meetings and HR initiatives.
  • Support departmental projects, pre-opening activities and continuous improvement initiatives to enhance HR operational efficiency.
  • Perform any other duties and responsibilities assigned by the Director of Human Resources or Human Resources Manager.

Qualifications

QUALIFICATIONS

  • Diploma or Degree in Human Resources, Business Administration or a related field preferred.
  • Minimum 1–3 years of Human Resources or administrative experience, preferably within hospitality or service industries.
  • Strong proficiency in Microsoft Office applications, particularly Excel, Word and Outlook.
  • Experience using HR Information Systems (HRIS) is an advantage.
  • Good organisational, administrative and data management skills.
  • High level of accuracy and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Knowledge of Singapore Employment Act and work pass administration is advantageous.
