Providing business and administration support to the Sales Department (travel / logistics arrangements, order processing, presentation materials preparation, and related events and activities), ensuring smooth workflow and e fficiency and helping the team meet its targets by handling the important administrative tasks while ensure compliance.
The main focus of this position will be directed towards the completion of required paperwork and assigned duties to enable the Sales team to focus in meeting Sales Revenues.
Maintain and update sales and customer's records.
Arrange TAs/PJ members logistics including travel arrangements, visa's, permits.
Gather TA timesheets and necessary information/documents, prepare invoices.
Check Inward/Outward remittance and update the status to HQ.
Use internal system to book order, input cost and issue purchase requisition.
Attend meetings with customer together with sales team.
Sales Support
Maintain and update sales and customer's records.
Generation of periodical reports, and other statistics for the Sales Department.
Organize meetings, logistics including travel arrangements, visa's, permits to enter customer facilities.
Team meeting reports and follow-up activities.
Provision of administrative support to Sales Department team in preparation of quotations and contracts.
Prepare and modify documents including correspondence, reports, presentations.
Maintain an efficient document control, filing and retrieval system.
Prepare agendas for meetings and prepare schedules.
Open, sort and distribute incoming correspondence.
Assist Sales team in ad-hoc project assignments, when required and any additional duties that may be allocated to you by the Company from time to time.
Requirements:
Previous experience in Sales Support/Office Administration/Coordination/Customer Service role.
Diploma/Degree in a Business Administration/Logistics/Supply Chain or related field.
Detail-oriented and meticulous.
Customer focused and ability to establish good working relationship.
Understanding of sales performance metrics.
Strong organizational skills with the ability to quickly assess, prioritizes work requests and meet deadlines.
Good Operations Skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience in ERP System. (e.g. SAP)
Desire to continually improve.
