Job Description

Job requirements:

The Executive Operations Associate is responsible for providing comprehensive support to the CEO and Director, including calendar management, meetings coordination, travel arrangements, and day to day administrative support, while supporting the Middle Office and fund operations functions. The role also supports office administration across the Singapore and London offices to ensure smooth daily operations.

This position requires the ability to manage competing priorities across executive support and operational responsibilities, exercise sound judgment, and handle sensitive information with a high level of professionalism and discretion. The individual must be organised, detail oriented, and able to work independently within a fast-paced asset management environment.

  • Provide executive support to the CEO and Director, including calendar management, meeting coordination, and communications.
  • Manage travel arrangements, including booking flights, hotels, airport transfers, and preparing detailed itineraries.
  • Handle office administration for the Singapore and London offices for efficient daily operations.
  • Coordinate office facilities, vendor relationships, and insurance matters, including renewals and employee coverage across both locations.
  • Prepare and process expense claims and provide general support with accounts.
  • Handle day-to-day administrative tasks including (but not limited to) general office operations, maintaining office supplies, liaising with external vendors and service providers to ensure smooth operations and timely delivery of services.
  • Assist in trade lifecycle monitoring and follow up with brokers and service providers.
  • Perform cash, position, dividend, and AUM reconciliations.
  • Review fund administrator reports and escalate discrepancies.
  • Support documentation, reporting, and operational controls.

Skills and Specifications

  • Experience: Minimum 2 to 3 years of relevant experience in executive support, fund operations, accounting, or similar roles.
  • Degree in Finance, Accounting, Business, or a related discipline.
  • Experience in fund operations, trade lifecycle processes, or reconciliations within an asset management environment is a bonus.
  • Ability to adapt to a fast-paced environment and manage competing priorities effectively.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Good command of spoken and written English.
  • Strong organisational, communication and interpersonal skills.
  • High level of professionalism, discretion, and attention to detail.

Our working hours are from 8.30am to 6pm, Mondays to Fridays.
