Job Description

About the Role

Pro Bono SG's Community Legal Services (CLS) Department is at the heart of what we do and it's where people who need legal help are first heard, assessed, and connected to the right support.

As an Executive Officer/Senior Executive Officer in CLS, you'll play a key role in making sure that people who come to us for help are guided through the process with care, professionalism, and efficiency.

This is a varied and meaningful role. On any given day, you might be reviewing a legal aid application, speaking with an applicant who's anxious about their case, coordinating with a volunteer lawyer, or helping to run one of our legal clinics. You'll work closely with a team of colleagues who are passionate about access to justice, and you'll be supported by experienced supervisors and community lawyers.

No two portfolios in CLS look exactly the same. You will be assigned responsibilities based on your strengths and team needs.

What You'll Do

  • Process legal aid and assistance applications, ensuring completeness and eligibility.
  • Conduct triage assessments and interview applicants.
  • Follow up on documents and assist with form completion.
  • Assign cases to volunteer lawyers and maintain case records.
  • Manage co-payments, appeals, correspondence, and case closures.
  • Support financial administration, reporting, and documentation.
  • Extract and analyse data for operational and grant reporting.

Frontline Client Support

  • Handle public enquiries via phone, email, walk-ins, and digital platforms.
  • Register applicants and guide them through intake and referrals.
  • Provide clear information and direct individuals to appropriate resources.
  • Manage high volumes of interactions with empathy and professionalism.
  • Resolve service issues and escalate complex cases when necessary.
  • Maintain proper records for quality assurance.

Legal Clinics & Coordination

  • Support the administration of legal clinics (including rostered evenings/weekends).
  • Coordinate schedules, appointments, and communications.
  • Liaise with volunteer lawyers, interpreters, courts, agencies, and partners.
  • Assist with outreach activities and inter-agency coordination.

Operations & Administration

  • Maintain accurate records in case management systems.
  • Prepare reports, statistics, and grant documentation.
  • Provide secretariat support, including scheduling and minute-taking.
  • Assist in developing SOPs and improving processes.

Team & Intern Support

  • Support onboarding and supervision of interns.
  • Provide guidance on service delivery and professional development.
  • Contribute to a collaborative team environment.

What We're Looking For

We're looking for someone who cares about making a difference and is comfortable working in a fast-paced environment where no two days are the same.

The following will help you thrive in this role:

  • A Bachelor's degree in Law, Social Work, Public Policy or other relevant disciplines.
  • A genuine interest in access to justice and working with people from diverse and vulnerable backgrounds.
  • Strong communication skills and the ability to engage with empathy, patience, and professionalism.
  • Good organisational skills and attention to detail.
  • Comfortable with data, systems, and technology.
  • A team player who's also able to work independently and take initiative.
  • Willingness to work rostered evening or weekend clinic sessions from time to time.

Preferred (but not required)

  • Experience in social services, community work, public service, or a client-facing coordination role.
  • Familiarity with Singapore's legal aid landscape or social support ecosystem.
  • Experience with data analysis, reporting, or grant administration.

What We Offer

  • The opportunity to do work that directly improves access to justice for people who need it most.
