We are seeking a meticulous and driven Executive for Membership Department, to oversee the administration, engagement, and growth of the Association's membership portfolio.
This role is integral to ensuring operational excellence within the Membership Department while enhancing member experience, strengthening stakeholder relationships, and supporting the Association's strategic growth initiatives. The incumbent will serve as a key liaison between members, partners, and the Secretariat, upholding the highest standards of professionalism and service delivery.
1. Membership Administration & Governance
Oversee the full spectrum of membership lifecycle processes, including new applications, renewals, upgrades, reinstatements, and terminations
Ensure accuracy, integrity, and confidentiality of membership data in compliance with internal policies and data protection standards
Maintain and continuously improve membership database systems and processes
Develop, review, and implement standard operating procedures (SOPs) for membership administration
Ensure compliance with membership policies, rules, and regulatory requirements
2. Member Relations & Engagement
Serve as the primary point of contact for all membership-related enquiries and correspondence
Build and maintain strong relationships with members to enhance engagement, retention, and satisfaction
Support the development and execution of member engagement strategies, including outreach campaigns and retention initiatives
Monitor member feedback and recommend improvements to enhance overall member experience
Assist in onboarding new members and ensuring a positive integration into the Association
3. Membership Growth & Business Development
Support initiatives to grow the Association's membership base through outreach, partnerships, and targeted campaigns
Identify opportunities to enhance membership value propositions and benefits
Source, negotiate, and manage partnerships with merchants and service providers to expand membership privileges
Track and analyse membership trends, growth metrics, and engagement levels, providing regular reports and insights to Management
4. Financial Administration & Reporting
Process membership-related payments, subscriptions, and billing in an accurate and timely manner
Prepare daily and periodic financial reports for reconciliation with the Finance Department
Monitor outstanding payments and follow up on renewals and collections where necessary
Support budgeting and forecasting for membership-related initiatives
5. Events & Programme Management
Plan, coordinate, and execute membership-related events, activities, and engagement programmes
Provide logistical and administrative support for key Association events, including:
Annual General Meeting (AGM)
Strategic meetings and internal forums
Industry events, roadshows, and partner engagements
Community and charitable initiatives
Ensure smooth event operations, including vendor coordination, registration management, and post-event follow-up
6. Secretariat & Stakeholder Support
Provide administrative and operational support to the Council and General Manager
Prepare reports, presentation materials, and documentation for meetings and decision-making
Attend key committee meetings when required and prepare accurate and timely minutes
Support cross-departmental collaboration within the Secretariat to ensure alignment of initiatives
7. Facilities & Operational Oversight
Manage and coordinate the utilisation and rental of office facilities, including scheduling and client liaison
Oversee administrative processes related to facility usage and ensure proper documentation and billing
Ensure smooth day-to-day operational support within the Membership function
8. Ad-Hoc Projects & Continuous Improvement
Support ad-hoc projects, organisational initiatives, and process improvement efforts
Identify areas for operational efficiency and recommend enhancements to systems, workflows, and service delivery
Contribute to digitalisation efforts and adoption of technology to improve membership management processes
