  • To assist Hostel Manager on hostel and housing administrative works and other housing-related operational matters:
    • Liaising with various SMU and external service providers.
    • Able to pick up knowledge of IT systems or possess good knowledge of hostel IT systemsuch as Starez (to process student application and generate reports (e.g. occupancy, billing, arrears etc)).
    • Manage the common email inbox and reply to email queries promptly, especially during peak periods in June and July where the volume of email queries received is much higher.
    • Assist Hostel manager and Residential Fellow team to plan and process room allocations.
    • Handle check in and check out processes.
    • Process billing and monitor aging and arrears management.
    • Manage hostel inventory i.e. LVA items such as microwaves, fans, fridges and to ensure regular maintenance.
    • Assist Hostel manager and Residential Fellow team to conduct spot checks on apartment conditions where necessary.
    • Attend to residents requests and feedback and follow up with contractors where necessary.
    • Check and attend to maintenance and repair works, working with Facilities team where required, and monitor service levels of service providers.
    • Liaise with external hostel operators where required on SMU students feedback and complaints to ensure they are resolved.
    • Flexible to work on selected weekends and adjust working hours as necessary to perform some of the duties assigned.
    • Multi-task and work well under pressure during peak periods of hostel operations i.e. June to Aug and Sept to Oct.
  • Other duties as assigned.

Qualifications

  • At least 2 to 3 years of experience in student affairs, hostel management, in administrative and operation related work in schools, training institutes, welfare homes, or private companies or a related role, preferably in an international school setting.
  • Degree in Office Administration, Business Management or related disciplines. Candidates with other related qualifications are welcome to apply.
  • Possess effective and exceptional customer service skills and strong interpersonal skills.
  • Strong administrative and data analytical skills with the ability to collect, organize, analyze, and disseminate information. Meticulous and possess strong problem-solving skills.
  • A good team player, able to work independently and in a team and in a standalone location from main campus.
  • Proficient in MS Office (Word, Excel and Powerpoint).
  • Strong understanding of, and able to navigate the challenges faced by international students.
  • Able to work effectively in a multicultural environment.
  • Experience in liaising with vendors and managing payments would be an advantage.
  • Knowledge of Singapore's educational landscape and regulations would be an advantage.
  • Comfortable with a hybrid work environment i.e. 40% desk-bound and 60% on-the-move due to the need to climb stairs and inspect apartments regularly.
