Job Description

We're Hiring: Executive, Food & Beverage (F&B) Administrator

Do you have an eye for detail and a passion for keeping things organised We are looking for a proactive and supportive individual to join our Food & Beverage (F&B) team as an Administrator. In this role, you'll play a key part behind the scenes, ensuring smooth administrative operations while supporting our exciting F&B events.

Key Responsibilities

  • Assist the Director of Food & Beverage in daily operational matters, including coordinating and updating his schedule with vendors, members, and other Department Heads.
  • Participate in sales and marketing activities, including sales calls and Club events.
  • Prepare purchase requisitions and follow up on payment status.
  • Generate weekly and monthly operational and management reports.
  • Contribute ideas and provide support for banquet sales and marketing initiatives.
  • Assist in the preparation of forecasts and actual budget function sheets.
  • Coordinate with all relevant departments to ensure the smooth planning and delivery of events.
  • Provide labour costing information for Function Statements.
  • Supervise weekly manpower schedules and deploy staff as required to meet functional needs.
  • Ensure meeting room setups comply with established SOPs and service standards.
  • Work closely with the culinary and service teams to ensure all event arrangements are executed according to members requirements.
  • Provide prompt support and service for last-minute changes or requests.
  • Handle customer feedback and complaints and follow up on service recovery where necessary.
  • Demonstrate teamwork and maintain positive working relationships with colleagues and Management.
  • Exhibit adaptability, professionalism, and effective communication skills.
  • Take minutes for departmental and sub-committee meetings.
  • Perform and support other operational duties as assigned by the Management to support smooth F&B operations.

Requirements

  • Friendly and approachable with strong communication skills.
  • Proficient in Microsoft Office (Excel, Word, Outlook) with good attention to detail.
  • Highly organised with the ability to manage multiple tasks efficiently.
  • Willingness to support F&B events, including occasional evenings or weekends.
  • Previous F&B or customer service experience is a bonus, but not a must.
