Job Description

Key Responsibilities

Operations Execution

  • Helpdesk/ service request handling
  • Tenant requests and office space planning support
  • Preventive/ corrective maintenance coordination
  • Carpark/parking administration
  • Support renovation projects, site inspections, and contractor access.
  • Monitor preventive/ corrective maintenance, service requests, security incidents, and project timelines.
  • Support Fire Safety Activities

Vendor & Contract Governance

  • Manage outsourced partners, enforce SLAs, and lead vendor performance assessments
  • Oversee contract renewals, outsourcing documentation, and regulatory approvals.
  • Lead RFQs/RFPs for CRE portfolios, prepare evaluation criteria, assess proposals, and recommend award decisions.
  • Conduct outsourcing reviews to ensure compliance to regulatory and internal guidelines.

Regulatory & Risk Compliance

  • Ensure operational compliance with BCA, SCDF, URA, EMA, SLA and all internal policies (Risk, Compliance, Audit).
  • Support Business Continuity Management (BCM) activities as BCP Member / Coordinator, maintain updated procedures, and participate in drills and testing.
  • Conduct AML screenings , RCA documentation, and audit requests.
  • Assist in building fire safety compliance support inspections, evacuation planning, and rectification of fire safety observations.
  • Perform Fire Warden duties, lead staff during evacuation drills, and ensure readiness of assigned zones.

Administration Support

  • Manage courier, mailroom, office equipment servicing, pantry and general office services.
  • Support CAPEX planning and project cost monitoring.
  • Prepare purchase requisitions and support procurement documentation for CRE related items.

Compliance & Reporting

  • Maintain records, logs, and registers (access, fixed assets, maintenance records).
  • Support documentation, and audit requests.

Qualification & Experience

  • Minimum of 2 years experience in property and admin management
  • Diploma / Degree in Real Estate, Facilities Management, engineering or other business-related discipline preferred
