Your Role
We are seeking a dynamic, highly organized, and proactivePersonal Assistant to support the VP/Managing Director in managing day-to-dayoperations, meetings, and communications across multiple markets. This positionrequires exceptional mental agility, social awareness, and professionalism inengaging with internal and external stakeholders worldwide.
What You Do
- Manage and coordinate a complex calendar,including scheduling, rescheduling, and effective prioritization ofappointments with speed and accuracy by applying proper judgement.
- Organize and execute meetings end-to-end -agenda planning, venue setup, catering, guest coordination, and follow-ups.
- Serve as a trusted point of contact for globalmanagers and senior stakeholders maintain discretion, professionalism, anddecorum at all times.
- Monitor and manage action items from meetings,ensuring timely completion and communication of next steps.
- Anticipate needs and act proactively -identifying opportunities, spotting potential issues early, and responding withsound judgment.
- Support strategic planning processes throughcoordination, documentation, and brief preparation.
- Facilitate effective networking and relationshipbuilding within internal and external commercial teams.
- Represent the office with a positive, energeticattitude - maintain composure and demonstrate situational awareness underpressure (high emotional intelligence).
Who You Are
- Bachelor's degree preferred
- 7-10 years proven experience as an executiveassistant, senior executive assistant or in other secretarial position haveexperience of supporting communication and people engagement initiativespreferred
- Exemplary organizational, planning and timemanagement skills
- Excellent verbal and written communicationsskills
- Good Microsoft office skills, especially Excel,Word, and PowerPoint
- Ability to multitask, prioritize daily workload,discretion and confidentiality
- Respectful of hierarchy, confidentiality, andcultural differences.
- Demonstrates poise and composure, positivity,and solution-oriented thinking
- Fast thinker and adaptive problem-solver whothrives in dynamic environments.
- Strong social intelligence and the ability toread cues and respond appropriately.
- Self-starter who requires minimal supervisionand shows initiative constantly fosters critical thinking and ability to adaptquickly (critical thinking skills)
