Your Role

We are seeking a dynamic, highly organized, and proactive Personal Assistant to support the VP/Managing Director in managing day-to-day operations, meetings, and communications across multiple markets. This position requires exceptional mental agility, social awareness, and professionalism in engaging with internal and external stakeholders worldwide.

What You Do

  • Manage and coordinate a complex calendar, including scheduling, rescheduling, and effective prioritization of appointments with speed and accuracy by applying proper judgement.
  • Organize and execute meetings end-to-end — agenda planning, venue setup, catering, guest coordination, and follow-ups.
  • Serve as a trusted point of contact for global managers and senior stakeholders; maintain discretion, professionalism, and decorum at all times.
  • Monitor and manage action items from meetings, ensuring timely completion and communication of next steps.
  • Anticipate needs and act proactively — identifying opportunities, spotting potential issues early, and responding with sound judgment.
  • Support strategic planning processes through coordination, documentation, and brief preparation.
  • Facilitate effective networking and relationship building within internal and external commercial teams.
  • Represent the office with a positive, energetic attitude — maintain composure and demonstrate situational awareness under pressure (high emotional intelligence) and the ability to foster connection and bring people together.

Who You Are

  • Bachelor's degree preferred
  • 7-10 years proven experience as an executive assistant, senior executive assistant or in other secretarial position; have experience of supporting communication and people engagement initiatives preferred
  • Exemplary organizational, planning and time management skills
  • Excellent verbal and written communications skills
  • Good Microsoft office skills, especially Excel, Word, and PowerPoint
  • Ability to multitask, prioritize daily workload, discretion and confidentiality
  • Respectful of hierarchy, confidentiality, and cultural differences.
  • Demonstrates poise and composure, positivity, and solution-oriented thinking
  • Fast thinker and adaptive problem-solver who thrives in dynamic environments.
  • Strong social intelligence and the ability to read cues and respond appropriately.
  • Self-starter who requires minimal supervision and shows initiative constantly; fosters critical thinking and ability to adapt quickly (critical thinking skills)
