Job Description

About the Role
Reporting directly to our CEO ASEAN, the EA support our CEO ASEAN to be more productive and efficient by handling tasks for them. The EA will act as a gatekeeper by determining which requests need immediate attention and providing and managing the daily flow of information. The EA may also act as a representative to represent the CEO ASEAN in some meetings (if necessary). The EA will also render support to FRSG business unit for all administrative matters.

Key responsibilities:
● Managing calendars and schedules for CEO ASEAN and ensuring that time is optimized through detailed planning and scheduling of meetings and appointments.
● Managing emails and calls; drafting correspondence, reports, and presentations.
● Coordinating complex travel itineraries, accommodations, and transportation. Organizing international travel including itineraries, visas, flights, accommodation and local transportation.
● Serving as the liaison between different departments and stakeholders. Acting as the first point of contact, screening calls and emails, and drafting correspondence on behalf of the executive.
● Maintaining administrative tasks such as managing reports, expenses claims, preparing meeting agenda/documentation, taking meeting minutes and conducting follow-ups.
● Contact point for FRSG with other ASEAN business units and stakeholders.

Requirements:
● Able to navigate and utilize Microsoft software (e.g. Microsoft Excel, Word etc). Exceptional communication skills in English, high proficiency in Microsoft Office (Word, Excel, PowerPoint), and strong organization.
● Understand Japanese is a must.
● Able to handle highly sensitive and confidential information.
● Able to multi-tasks and build good interpersonal relationships and be a team player.
● Have the ability to judge and make decisions that is of the best interest of CEO ASEAN.
● Independently manages projects with clear timeline, keeping key stakeholders informed as and when required.
● Min. 5 years of experience as an Executive Assistant. Generally, 3–5+ years of experience supporting C-level executives.
● Min. Diploma of any Disciplines. Bachelor's degree in Business Administration or related fields is often preferred
