Job Description

Position: Executive Assistant to Group CEO / Chairman

Location: Kuala Lumpur City Center

1. Position Summary

The Executive Assistant (EA) to the Group CEO / Chairman provides high-level strategic, operational, and administrative support. This role requires exceptional discretion, leadership maturity, organizational excellence, and the ability to manage complex schedules, confidential matters, and high-level stakeholder relationships.

The ideal candidate should have a finance, banking, or asset management background, and the professionalism to represent the CEO / Chairman internally and externally. Excellent command of both English and Chinese is required to communicate effectively with diverse stakeholders.

2. Key Responsibilities

2.1 Executive & Strategic Support

  1. Manage the CEO / Chairman's calendar, correspondence, and meeting coordination.
  2. Prepare briefing notes, reports, and presentations for executive, board, and investor meetings.
  3. Handle confidential executive documents with discretion.

2.2 Leadership, Coordination & Follow-Up

  1. Follow up on tasks, approvals, and requests across departments to ensure deadlines and commitments are met.
  2. Track progress of strategic initiatives and corporate projects.
  3. Represent the CEO / Chairman at selected meetings or external engagements when required.

2.3 Communication & Stakeholder Management

  1. Draft, review, and edit internal communications on behalf of the CEO / Chairman.
  2. Act as a liaison with senior management, board members, and external partners, ensuring professionalism in all interactions.
  3. Facilitate high-level meetings and strategic discussions, capturing action items and ensuring follow-up.

2.4 Ad-Hoc Executive Support

  1. Manage ad-hoc executive assignments and sensitive tasks as directed.
  2. Conduct research, analysis, or summaries to support executive decision-making.

3. Requirements

3.1 Education

  • Bachelor's Degree in Business Administration, Finance, Corporate Administration, or related field.
  • Professional qualification such as ICSA / Corporate Secretarial qualification is highly preferred.

3.2 Experience

  • Minimum 5–8 years supporting C-suite executives.
  • Experience in asset management, banking, or financial services preferred.
  • Exposure to corporate governance, strategic projects, or executive-level operations is highly advantageous.

3.3 Skills & Competencies

  • Meticulous with exceptional attention to detail.
  • Strong leadership maturity and executive presence.
  • High level of professional discretion, integrity, and emotional intelligence.
  • Excellent command of English and Chinese, both written and spoken.
  • Strong written and verbal communication; proficient in Microsoft Office (Excel, PowerPoint, Word).
  • Strong follow-up and coordination skills to ensure completion of approvals and key initiatives.
  • Detail-oriented, proactive, and able to thrive in a fast-paced, high-pressure executive environment.
