About the role
The Executive Assistant will act as the primary point of contact for all matters directed to the CEO. Working in a fast-paced environment, you will manage the CEO's schedule, travel, communications, reporting, and special projects, while ensuring seamless coordination across internal teams and external stakeholders. A core part of the role is acting as the CEO's information engine - gathering, organising, and simplifying information so the CEO can make decisions quickly, and preparing materials that feed into CEO and Chairman review cycles.
Key responsibilities
Manage and maintain the CEO's complex, fast-moving calendar, scheduling meetings, calls, and appointments with precision
Proactively anticipate scheduling conflicts and resolve them with minimal disruption
Coordinate internal and external meetings, ensuring all logistics and materials are prepared in advance
Screen, prioritise, and manage a high volume of emails, calls, and correspondence on behalf of the CEO
Draft, proofread, and send communications including letters, emails, briefing notes, and presentations
Serve as the first point of contact for senior stakeholders, investors, board members, and development partners
Arrange domestic and international travel including flights, accommodation, ground transport, and detailed itineraries
Prepare comprehensive travel packs with relevant documentation and briefings
Manage visa applications and travel documentation as required
Track and follow up on key actions, deliverables, and deadlines across ongoing projects
About you
2-4 years of experience supporting a senior executive, director, or business leader
Exceptional organisational and time management skills with a keen eye for detail
Strong written and verbal communication skills
High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Demonstrated ability to handle sensitive and confidential information with discretion
Ability to work independently, manage competing priorities, and adapt to a dynamic environment
Professional, polished, and personable with a proactive can-do attitude
Degree-level education or equivalent professional qualification preferred
Secretarial, business administration, or office management qualification is an advantage
