Job Description

Our client, a dynamic Founder and CEO, is seeking a highly experienced, discreet, and polished Executive cum Personal Assistant (EA/PA). This is a senior-level position acting as the primary operational right-hand, responsible for driving seamless precision across both high-priority business domains and private lifestyle logistics.

The ideal candidate possesses exceptional emotional intelligence, strong global coordination experience, and an intuitive ability to manage shifting priorities under pressure.

Key Responsibilities

  • Travel Operations: Plan and coordinate complex, multi-leg international business and personal itineraries, including luxury accommodations, visas, ground logistics, private dining, and curated experiences.
  • Strategic Scheduling: Manage a high-volume calendar across multiple time zones, proactively optimizing the CEO's daily agenda and prioritizing strategic focus areas.
  • Lifestyle & Family Support: Oversee personal lifestyle coordination, household management, vendor management, appointments, personal procurement, and bespoke projects.
  • Document Administration: Maintain accurate identity records for family members, ensuring timely renewal of passports, visas, re-entry permits, and official documentation.
  • Event Planning: Organize mid-scale executive functions, private events, and gatherings with end-to-end oversight on logistics and guest experience.
  • Stakeholder Management: Act as a professional liaison between the CEO and internal/external high-profile stakeholders, maintaining strict confidentiality at all times.
  • Digital & Administrative Asset Management: Maintain database contacts, high-value asset shipping/insurance, and social media profile administration (e.g., LinkedIn).

Qualifications & Requirements

  • Experience: Minimum 5 years of dedicated EA/PA experience supporting C-Suite executives, ideally within a founder-led business, ultra-high-net-worth (UHNW) environment, or private family office.
  • Core Competencies: Exceptional discretion, high detail orientation, and proven capability to operate autonomously in fast-paced environments.
  • Mindset: Proactive and solutions-driven, with the foresight to anticipate executive needs without direct supervision.
  • Communication: Superior verbal and written communication skills with a polished, high-touch service delivery mindset.
  • Tech Literacy: Proficient in MS Office/Outlook, Google Workspace, and digital event/project planning tools.
