Job Description

About the Role

We are seeking a highly capable, detail-oriented Executive Assistant to support the CEO of a fast-growing international group with significant cross-border operations spanning Asia, Europe, and beyond. This is a high-impact role working directly alongside senior leadership, with exposure to board-level interactions, government engagements, and global business coordination.

The successful candidate will be based in Singapore and will serve as the primary point of support for the CEO and other senior executives visiting the region. This role goes well beyond calendar management — we are looking for someone who can anticipate needs, manage complex logistics, and represent the office with professionalism and poise.

Key Responsibilities

  • Provide comprehensive executive support to the CEO, including calendar management, travel planning, and meeting preparation
  • Coordinate schedules and logistics for senior executives visiting Singapore from other regions
  • Manage communications on behalf of the CEO's office, including correspondence with C-suite executives, government officials, and external partners
  • Plan and execute high-level meetings, including protocol-sensitive engagements with government officials, board members, and business leaders
  • Ensure flawless execution of travel itineraries, event arrangements, and hospitality logistics
  • Serve as a reliable liaison between the CEO's office and internal/external stakeholders across time zones
  • Maintain confidentiality and handle sensitive information with the utmost discretion

Ideal Candidate Profile

Must-Have

  • 5+ years of experience as an Executive Assistant or in a similar role supporting C-suite executives, Managing Directors, or senior partners
  • English proficiency (spoken and written); additional languages (particularly Mandarin) are a strong plus
  • Demonstrated experience with executive-level protocol and business etiquette — including interaction with CEOs, board members, and senior government officials
  • Exceptional attention to detail — meticulous in planning and execution, with a track record of zero-defect delivery in high-stakes situations
  • Strong anticipatory thinking — ability to think ahead, foresee potential issues, and proactively address them before they escalate
  • Comfortable working in a high-intensity, fast-paced environment with demanding schedules
  • Based in Singapore

Nice-to-Have

  • Experience working in a family office, private equity/venture capital firm, top-tier investment bank, law firm, or executive search firm
  • Exposure to cross-border operations involving multiple countries and cultures
  • Experience supporting executives with high expectations and exacting standards
  • Familiarity with setting up or operating within a family office environment in Singapore

What We Offer

  • A unique opportunity to work at the center of a dynamic, globally-oriented organization
  • Direct exposure to C-suite decision-making, international business operations, and high-profile engagements
  • Clear career development path, including potential involvement in the establishment and growth of a family office in Singapore
  • Competitive compensation package commensurate with experience
