About Apex Harmony Lodge

Founded in 1999, Apex Harmony Lodge (The Lodge) is a 210-bed nursing home dedicated to providing specialized and person-centred care for individuals living with dementia. We strive to be a leader in dementia care, setting benchmarks in clinical excellence, workforce capability building, and system innovation.

About the role

We are seeking a proactive and highly organised Executive Assistant to support the CEO in a fast-paced and dynamic environment. This role requires strong anticipation, sound judgement and the ability to manage multiple priorities with accuracy and professionalism.

Key Responsibilities

  • Manage and prioritise the CEO's calendar, meetings and engagements.
  • Proactively prepare documents, briefs and follow-ups to support the CEO's needs.
  • Draft and prepare emails, letters, presentations and reports.
  • Coordinate meetings, take concise minutes and track action items to completion.
  • Serve as the primary liaison between the CEO and internal/external stakeholders.
  • Manage and prioritise incoming communications, escalating matters to the CEO where appropriate
  • Maintain confidential files, trackers and deadlines with accuracy and professionalism.
  • Streamline and improve administrative processes for greater efficiency.
  • Support change management by coordinating communication, tracking actions and ensuring follow-through.
  • Assist in planning and executing Lodge's events and initiatives, ensuring timelines and logistics are well managed.

Requirements

  • Diploma/Degree in any discipline.
  • Minimum 3 years experience supporting senior leaders (C-suite support preferred).
  • Excellent written and verbal communication skills.
  • Strong organisation, planning and prioritisation capabilities.
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Able to work independently, manage multiple deadlines and adapt quickly.
  • Discreet, resilient, resourceful, and confident interacting with senior stakeholders.
