This is a contract role, ending on the 30 June 2026 with possibilities of extension thereafter.
Responsibilities
- Manage complex executive calendars, including scheduling across multiple time zones, prioritizing competing demands, and coordinating internal and external meetings with senior stakeholders.
- Handle end-to-end travel management for senior leadership, including multi-leg international itineraries, flight bookings, accommodation, ground transportation, and preparation of detailed travel plans.
- Coordinate executive visits, leadership offsites, and business events, including venue sourcing, supplier engagement, catering arrangements, and on-site logistics.
- Manage expense submissions and financial administration on behalf of senior leaders, ensuring timely and accurate processing through corporate expense platforms.
- Liaise with internal teams, regional stakeholders, and external vendors to support business operations and ensure smooth coordination across functions and markets.
- Anticipate executive needs, track action items independently, and ensure tasks are completed accurately and on time without frequent follow-up.
- Maintain administrative documentation and provide general operational support as required.
Requirements
- 45 years of experience in an Executive Assistant or senior administrative role supporting senior leadership or C-suite executives. Experience supporting stakeholders across the ASEAN and or other regions will be a plus.
- Experience in a technology or multinational corporate environment is preferred.
- Proven ability to manage complex calendars, executive travel, and high-volume coordination activities.
- Strong organizational skills with excellent attention to detail and follow-through.
- Experience coordinating executive visits and managing external vendors or suppliers.
- Familiarity with modern workplace productivity tools (e.g., Outlook, Teams, SharePoint or equivalent collaboration platforms).
