What we're looking for
In this diverse and high-responsibility role, the Executive Assistant (EA) provides high-level administrative, organisational, and strategic support to the C-suite management team. This role combines classic EA responsibilities with project coordination, business communication, and strategic support functions depending on the location. You will act as a key connector across departments, enabling the leadership team to achieve strategic and operational goals.
Responsibilities
Administrative Support
- Manage Executive management team's calendars and appointments
- Arrange travel itineraries, including bookings, visas, and accommodations, with attention to time zones and regional requirements
- Expense Management via Concur application, enter, validate and execute on Executive expenses, furthermore approve next level travel and expenses.
- Coordinate leadership team meetings-including agenda preparation, logistics, equipment setup, and minute‑taking, and tracking post‑meeting actions.
- Prepare, proofread, and maintain documentation, reports, and presentations to exceptional standards.
- Follow up on actions directed by executive management in a timely manner.
Strategic & Project Support
- Support executive management team in selective projects as and when required.
- Facilitate strategy execution and key initiatives coordinate timelines, risks, and inter‑dependencies across business functions
- Prepare decision‑making materials, business analyses, and data models for leadership and corporate committees.
- Develop content for internal and external communication, including leadership presentations.
Communication and Liaison
- Serve as a liaison between the executive management team and internal teams, external partners, and industry stakeholders.
- Facilitate communication between the executive management team and internal stakeholders across departments on decisions, actions, and deadlines.
- Coordinate executive events, townhalls, and workshops for SNP JAPAC.
- Act as the primary point of contact for executive management team, including managing their phone calls, emails, and correspondence.
Qualifications
We're seeking someone who:
- Possess Diploma/Degree in any field, with at least 3 years of experience as Executive Assistant in an international (IT) service company
- Good communication skills, multilingual in English and another Asian language (both spoken & written) to support communication and correspondences throughout JAPAC region.
- Good people and interpersonal skills, capability to deal with stakeholders from different levels.
- Organised, with the ability to work independently and good time management to perform diversified confidential duties and to meet deadlines.
- Quick learner, analytical thinking, high level of initiative, and a passion for driving projects forward independently
- Proactive support, anticipating needs, identifying problems and finding solutions before asked.
- Flexibility and openness to change and new challenges
- Strong solution-oriented mindset, organisational skills, and discretion
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ideally, knowledge of Concur and Successfactors applications
