The Opportunity
We are seeking a highly organised, polished and detail-oriented Executive Assistant to support the senior management. Working closely with the Senior Executive Assistant, you will help ensure the smooth daily management of executive schedules, communications, travel arrangements and confidential matters.

Key Responsibilities
- Support the management of the senior management's calendar, including coordinating meetings, appointments and schedules across multiple time zones.
- Manage professional email correspondence and assist in drafting, formatting, proofreading and responding to communications.
- Prepare correspondence, reports, presentations and other executive documents with a high level of accuracy.
- Coordinate comprehensive travel arrangements for the senior management and family, including flights, accommodation, visas, ground transportation and detailed itineraries.
- Arrange travel schedules and logistics for employees, business guests and other stakeholders when required.
- Maintain organised physical and digital filing systems while ensuring confidential information is handled securely.
- Process expense claims and reimbursements accurately and promptly.
- Anticipate upcoming requirements, follow up on action items and support changing priorities within the senior management's Office.
- Provide backup reception support during periods of leave, absence or high visitor traffic.
- Undertake other administrative and executive-support responsibilities assigned by the Senior Executive Assistant or senior management.
Requirements
- Diploma or Bachelor's degree in Business Administration, Communications, Hospitality Management or a related discipline is preferred.
- Minimum 2 years of experience in an executive-support, secretarial, administrative, guest-relations or customer-facing position.
- Hands-on experience in calendar management and meeting coordination is mandatory.
- Strong experience in managing professional email correspondence, including drafting and proofreading communications, is mandatory.
- Excellent written and verbal communication skills, with the confidence to interact professionally with senior executives and external stakeholders.
- Experience supporting senior executives, prominent individuals or ultra-high-net-worth clients would be advantageous.
- Proficient in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.
- Strong organisational and time-management capabilities, with the ability to manage multiple priorities and deadlines.
- Highly meticulous, discreet and trustworthy when handling confidential or sensitive information.
- Proactive and resourceful, with the ability to anticipate needs and work independently with minimal supervision.
- Flexible to provide standby or overtime support when required by business or operational needs.
