General Description

Provides a wide range of secretarial and administrative support to specific managers (Global VP Customer Quality, MedTech, up to 3-4 other APAC Snr Director / Director).

Maintains calendar(s) and arranges meetings. Provides relevant staff with reminders of upcoming events and projected related deadlines. Coordinates, prepares and edits reports and presentations. Prepares memorandums.

Organizes files, assembles relevant data, compiles statistics or information as directed for use by others. Makes travel arrangement, prepares expense reports and process invoices, maintains financial and expense records.

Handles confidential matters requiring discretion and judgment.

Support to the Global VP Customer Quality, MedTech (specifics but not limited to)

  • Admin. Support to the VP including travel arrangement, relocation, expense report, meeting arrangements (system set up and meeting room bookings), presentation file compilation and visual refinement
  • Provide administrative support for internal and external visitor arrangement, team meeting and event management (e.g. workshops, global townhalls), team meetings and overseas visits. This includes catering, logistics arrangements (hotel, transportation and restaurants), expense reporting
  • Provide admin support for global Customer Quality related employee communications
  • Reporting and maintenance of country holidays, team calendar, phone directory, organization chart and staff meeting minutes and follow up on actions till closure
  • Workday support e.g. job requisition, hiring, resignation, etc. plus related matters e.g. JnJ Hire (if requested)
  • Other projects/ assignment from line manager e.g. enterprises initiatives requiring functional presence

Support to the other Directors (specifics but not limited to)

  • Compile required metrics/ dashboard, or scorecard
  • Head count tracking, reporting and maintenance of country holidays, team calendar, phone directory, organization chart and staff meeting minutes and follow up on actions till closure
  • Set up of SharePoint and MS Team

Experience and skillsets Requirement

  • Diploma/ Degree in any field, with minimum 2 years of experience in Executive Assistant/ Secretary/ Administrative experience
  • Familiar with Microsoft office applications in Outlook, Word, PowerPoints, Excel, MS Teams etc.
  • Experience in handling Meeting Management Townhall Management Poll everywhere, Zoom Webinar, etc.
