Job Description:

Designation: Executive Assistant (One Year Contract)

We are looking for an Executive Assistant for Temasek Shophouse who will provide a full spectrum of secretarial and administrative support to the team. The Executive Assistant must be motivated and enjoy working within an environment that is mission-driven and community oriented.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a balance among multiple priorities. The Executive Assistant will support the team with workplace and events management, in shared goal is to ensure all activities can be carried out efficiently for Temasek Shophouse to be enjoyed both as a public space as well as an office space for employees and external co-workers.

Roles and Responsibilities

  • Maintain diary management, arranging appointments and meetings as appropriate
  • Support event plans, itineraries, and agendas; and collating documents for meetings.
  • Prioritise conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Provide support on a broad variety of administrative tasks, i.e., claims and expense reports, office and vendor management, events management as required.
  • Support the team in the organisation and detailed planning of certain events.
  • Organise workload and prioritise on a daily basis using own initiative and knowledge of the work with minimum supervision.
  • Maintain a high degree of confidentiality.
  • Other ad hoc duties as assigned, not limited to duties above.

Skills and Experience:

  • Minimum Diploma or secretarial certificate
  • Minimum of 10+ years of relevant experience
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
  • Excellent written and verbal interpersonal and communication skills
  • Attention to detail and strong organisational skills
  • Ability to work independently and handle confidential information
  • Self-starter with excellent anticipation skills; problem solving; follow up
  • Strong relationship skills and comfortable working with people at all levels
  • Must have excellent judgement, independent thinker and resourceful
  • Team player with a positive attitude
  • Highest degree of integrity, professionalism and discretion required
