Job Summary
Provide comprehensive secretarial and administrative support to the CEO, managing communications, scheduling, and stakeholder engagement to enhance executive productivity and uphold the organization's professional image.
Responsibilities
- Manage the CEO's electronic diary by scheduling, prioritizing, and coordinating appointments, meetings, and travel/hotel/Visa arrangements to optimize time and productivity.
- Serve as the primary liaison between the CEO and internal/external stakeholders by screening calls, handling enquiries, and negotiating with professionals on confidential and sensitive matters.
- Prepare, organize, and distribute meeting agendas and presentation materials to ensure effective and timely communication during executive meetings.
- Record, draft, and distribute accurate minutes and correspondence on behalf of the CEO to maintain clear documentation and follow-up actions.
- Welcome and advise visitors, representing the organization professionally and fostering positive relationships.
- Handle incoming and outgoing communications including mails, and electronic correspondence to support seamless executive operations.
- Provide strategic support to the CEO in managing collaborations with business partners, driving initiatives in emerging technologies, R&D innovation, and project execution, while contributing to the expansion of business development and marketing opportunities. Assist in coordinating and liaising with China-based partners, clients, and suppliers to ensure seamless business operations.
- Maintain confidentiality and demonstrate high integrity in managing sensitive information and executive affairs.
- Proactively identify and implement improvements in administrative processes to support the CEO's strategic priorities.
- Undertake additional duties as assigned by the CEO and/or Corporate HR & Admin to support organizational goals.
Required competencies and certifications
- Diploma or bachelor's degree in business administration, Secretarial Studies, or a related field.
- Minimum 2 years of experience in a similar executive support role.
- Proficient in Microsoft Office applications and other business AI tools.
- Strong command of spoken and written English/Chinese to communicate effectively across diverse stakeholders/business partners.
- Demonstrated ability to multitask, plan, and prioritize workload to meet deadlines independently
- High reliability and integrity in handling confidential information.
