Job Description

Role Overview

The Executive/ Assistant Manager in the HR and Communications office provides high-level administrative support to the HR, communications and facilities management. This role ensures smooth day-to-day operations, supports internal communications, and coordinates administration activities across offices globally.

  • Support HR operational processes, including documentation, tracking, and record-keeping
  • Manage and administer employee-related vendor contracts
  • Coordinate logistics for onboarding, offboarding, and employee movements
  • Communications Support
  • Support the Senior Manager, Communications in planning and executing internal events and employee engagement activities
  • Coordinate or assist in coordination of company-wide engagement initiatives
  • Provide basic coverage for communications matters in the absence of the Senior Manager (e.g., coordination, stakeholder liaison, message dissemination)
  • Support the administration and upkeep of internal communications platforms (e.g., SharePoint and other internal channels), including content updates, access management, and basic troubleshooting
  • Ensure timely and consistent communication across internal channels
  • Facilities & Workplace Support
  • Support facilities management activities in countries we operate in to ensure a safe, functional, and well-maintained workplace
  • Coordinate with landlord, vendors, IT department and building management on office maintenance, services, improvements, and budgeting and payment of services rendered
  • Assist in workplace-related initiatives that enhance employee experience including learn-and-learn, teambuilding, company get-together
  • Manage and administer administrative-related vendor contracts and administrative matters (e.g., corporate hotel arrangements, travel agency and other facilities-related vendors)
  • Direct the receptionist's work and provide coverage when receptionist is away
  • Others
  • Support cross-functional projects and initiatives aligned with HR, communications, and workplace operations priorities
  • To support process improvements, digitalisation initiatives and cross-functional collaboration
  • Undertake other responsibilities as assigned by the reporting manager
  • Diploma or degree in Business Administration, Communications, or related field
  • 3-6 years of relevant experience in HR operations, office administration, or communications support
  • Strong organizational and coordination skills with attention to detail
  • Ability to exercise a high level of discretion and maintain strict confidentiality on all HR and confidential matters
  • Ability to manage multiple stakeholders and priorities effectively
  • Good written and verbal communication skills
  • Proactive, resourceful, and able to work independently when required
  • Proficient in Microsoft Office (PowerPoint, Excel, Word)
