We are looking for a sharp, proactive, and highly organised Executive Assistant to provide shared support to our senior leadership team at the VP level and above. As we scale rapidly across Southeast Asia, our leaders need a trusted partner who can manage complexity, anticipate needs, and keep things running with precision behind the scenes.
This is not a traditional admin role — you will be embedded in the heart of our operations, working closely with founders and senior executives to drive execution and organisational excellence.
Executive & Calendar Support
- Manage and optimise complex, fast-changing calendars across multiple senior leaders, resolving conflicts and protecting time for high-priority work.
- Prepare briefing notes, agendas, and pre-read materials to set executives up for every meeting and engagement.
- Schedule and coordinate meetings with partners, customers, and internal stakeholders with speed and professionalism.
Travel & Logistics
- Arrange seamless domestic and regional travel across Southeast Asia (and beyond), including flights, accommodation, visas, and ground transport.
- Build detailed itineraries and proactively manage travel disruptions to minimise impact to leadership.
Communications & Correspondence
- Act as a professional first point of contact for executives — triaging inbound communications, drafting responses, and ensuring nothing falls through the cracks.
- Prepare polished written communications, presentations, and reports on behalf of leaders.
Meetings & Events
- Coordinate leadership meetings, briefings, all-hands sessions, and company offsites end-to-end.
- Take accurate meeting notes, capture action items, and follow up with stakeholders to drive accountability.
Administration & Operations
- Process expense reports, vendor invoices, and procurement requests accurately and on time.
- Maintain organised and confidential digital filing systems for leadership documents.
- Liaise with cross-functional teams — including Tech, Operations, Finance, and People — to resolve issues swiftly on behalf of executives.
Special Projects
- Support leadership on ad hoc strategic initiatives, research tasks, and time-sensitive projects.
- Compile data, prepare summaries, and help produce materials that support decision-making at the leadership level.
