Job Title: Executive Assistant

Client Location:Singapore

Working Days/Hours: Monday-Friday/9AM-6PMSGT

Contract Type:Full-Time, Hybrid (3 days onsite, 2 days remote)

Contract Term:1 Year, Renewable

Monthly Compensation:USD 1600-2100

Job Overview

Kuubiik is representing aglobal AI technology group headquartered in Singapore. They operate across multiple countries and build transformative AI solutions for industries such as healthcare, industrial safety, maritime, and finance. With a presence in over 15 countries, they are rapidly scaling and seeking adynamic, fast-moving Executive Assistantto support their leadership office in Singapore.

This role requires a highly organized, proactive professional who can govern executive operations, communicate seamlessly across global teams, and serve as a strong buffer between the CEO and internal/external stakeholders. The position offers exposure to high-level decision-making within a fast-paced, high-growth environment.

Key Responsibilities

  • Manage day-to-day executive operations, including calendar management, meetings, travel arrangements, and priority handling.
  • Draft, review, and manage professional communications such as emails, reports, and presentations on behalf of leadership.
  • Coordinate effectively with global offices, partners, and stakeholders across multiple time zones.
  • Track tasks, follow-ups, deadlines, and ensure timely and flawless execution.
  • Support hiring, administrative tasks, special projects, strategic initiatives, and high-profile events as needed.
  • Handle confidential information with the utmost discretion and professionalism.

Must-Haves

  • 15 years of Executive Assistant or Personal Assistant experience supporting senior leadership.
  • Excellent English communication skills (written and verbal).
  • Strong organizational and governance skills; ability to prioritize, structure, and execute tasks proactively.
  • Tech-savvy with experience using Google Workspace and Microsoft Office (Slack and Notion are a plus).
  • Ability to operate with speed, accuracy, and a solution-oriented mindset in a fast-moving environment.
  • Comfortable serving as a firm, reliable buffer between the CEO and various internal/external stakeholders.
  • Must be eligible to work in Singapore under local visa and employment requirements.

  • Background in client-facing or stakeholder management roles.
  • Exposure to global operations or multicultural working environments.
