Job Description

Jenga Corp wishes to hire an Executive Assistant.

About the role:

  • Provide high-level administrative support to 2 Management Executives
  • Keep the Management Executives advised of time-sensitive and high priority issues, ensuring appropriate follow-up
  • Maintain confidential and sensitive information
  • Complete a variety of special projects including creating PowerPoint presentations, Ministry compliance updates, industry trends, special reports and agenda material
  • Draft, review and send communications on behalf of Management Executives
  • Maintain document management systems and databases
  • Calendar management, schedule and facilitate client and departmental meetings, including marketing events and team building events
  • Greet clients and visitors to the office
  • Attend meetings and take notes of discussion, prepare the initial draft of action points
  • Coordinate travel arrangements, including booking flights, accommodation and ground transportation
  • Prepare and submit expenses and reconcile expense reports
  • Oversee office management and routinely perform a wide variety of support and administrative duties to ensure smooth daily operation

You should have:

  • Five years related experience, with at least two to three years experience supporting individuals at the executive level strongly preferred
  • Proficiency with Microsoft Office, Google (Google Docs, Gmail, Drive) and instant messaging applications like WeChat and Telegram
  • Positive attitude, driven and ready to take on challenges
  • Ability to exercise judgment in managing confidential or sensitive information
  • Meticulous attention to detail and follow-through perform tasks with high degree of accuracy and efficiency with the ability to meet deadlines
  • Ability to work independently, to take initiative and to overcome obstacles
  • Ability to successfully manage competing priorities, keeping constant sight of the overall objectives
  • High degree of maturity and professionalism
  • High degree of flexibility in a demanding, fast-paced and frequently changing environment
  • Strong service orientation in responding to customer needs
  • Excellent oral and written communication skills (both in English and Chinese to better manage the clients)
