Job Description

Role Overview

We are seeking a highly organized, discreet, and execution-oriented Executive Assistant to support our Principal in a multifaceted capacity. This role combines executive and private office support, business and project coordination, financial administration, and lifestyle asset management, with significant interaction across Singapore and China.

The ideal candidate is a hands-on professional with experience operating in cross-regional environments, particularly Singapore and China. The candidate should be comfortable moving between high-level executive support and detailed operational execution, with strong bilingual communication capabilities and the ability to independently manage multiple workstreams.

Key Responsibilities

Executive & Private Office Support: Manage the Principal's calendar, meetings, business and private travel, visa applications, expenses, reimbursements, banking-related administrative matters, and other day-to-day requirements. Provide support on selected personal and family matters while maintaining strict confidentiality and discretion.

Business & Project Coordination: Track the progress of business, investment, and other strategic projects, including milestones, deliverables, budgets, and outstanding action items. Coordinate with internal teams and external project stakeholders, consolidate information, prepare progress updates, and proactively follow up to ensure timely execution.

Financial & Budget Coordination: Support budgeting, expense monitoring, payments, reimbursements, and other financial administrative matters. Maintain accurate financial records and trackers and coordinate with Finance, banks, vendors, and other relevant parties.

Procurement & Asset Management: Coordinate procurement and maintain accurate records of assets, inventory, contracts, and related expenditure. Conduct research, evaluate vendors, coordinate purchases, and monitor delivery and maintenance requirements.

Lifestyle Asset Management: Assist with the Principal's lifestyle and personal assets, including but not limited to fine wine, art, luxury watches, properties, and other valuable items. Support research, procurement, inventory tracking, documentation, logistics, maintenance, and vendor coordination.

China-Singapore Stakeholder Coordination: Act as a key liaison between the Principal, internal departments, external project teams, vendors, and business partners across Singapore and China. Ensure accurate information flow, maintain effective working relationships, and proactively follow up on outstanding matters.

Bilingual Business Communication: Provide professional Chinese-English communication support for business and private matters, including correspondence, documents, meetings, and stakeholder discussions. Assist with translation and interpretation where required.

Process & Information Management: Establish structured trackers, workflows, records, and information-management systems to improve visibility and execution. Leverage digital tools, automation, and AI where appropriate to improve efficiency and support decision-making.

Requirements

  • Proven at least 6+ years of experience in Executive Assistance, Administration, Operations, Project Management, or a combination of these functions, preferably within a reputable MNC, technology company, investment/family office, professional services firm, or similarly fast-paced environment.
  • Demonstrated experience supporting senior executives on both business and personal matters, including travel, visas, expenses, confidential information, and complex administrative arrangements.
  • Strong experience in project coordination and operational execution, with the ability to independently track multiple projects, stakeholders, deadlines, and deliverables.
  • Hands-on exposure to budgeting, expense management, procurement, vendor management, inventory, or asset management is highly preferred.
  • Professional experience working across Singapore and China, or substantial experience coordinating Singapore-China business matters, is highly preferred.
  • Experience operating within a broader APAC or cross-regional environment and coordinating across multiple business functions is advantageous.
  • Excellent bilingual proficiency in English and Mandarin, with the ability to communicate effectively with senior stakeholders in both languages.

  • Technology & Process Mindset: Comfortable adopting digital tools, workflow automation, databases, and AI tools to improve productivity and information management.
  • Stability & Resilience: Composed, dependable, and adaptable, with the ability to manage changing priorities and high-pressure situations while maintaining execution quality.
