We are seeking a versatile Executive Assistant to support the principal in managing high-level administrative, operational, and strategic responsibilities. The role acts as a key gatekeeper and strategic partner, ensuring priorities, schedules, and deliverables are efficiently managed in a fast-paced, entrepreneurial environment.
Key Responsibilities
1. Executive Support
- Manage complex calendars, scheduling, and meeting coordination across multiple time zones
- Prepare meeting materials, investment decks, and executive briefings where required
- Support client meeting logistics, including agendas, minutes, and follow-ups
- Handle confidential correspondence, documentation, and record-keeping
- Track key business deliverables, deadlines, and investor communications
- Coordinate with finance, operations, and compliance teams on business projects
2. Investor Relations & Communication
- Support communication with investors, partners, and clients in a professional and timely manner
- Assist in preparing investor letters, presentations, and event materials
- Maintain CRM or investor databases with accuracy and confidentiality
3. Administrative & Office Management
- Manage domestic and international travel arrangements, accommodation, and expense reporting
- Coordinate vendor relationships, office logistics, and supplies
- Support internal and external events, including offsites and investor gatherings
4. Personal Assistance
- Provide personal support including scheduling of appointments, travel, and family-related arrangements
- Assist with household administration, personal errands, and liaison with service providers
- Maintain strict confidentiality across all personal and professional matters
Qualifications
Education & Experience:
- Bachelor's degree in Business, Communications, Management, or related field from a reputable university (strong academic results preferred)
- 5-8 years of experience supporting senior management or C-suite executives in financial services
- Background in asset management, private equity, investment banking, or related sectors preferred
- Certifications such as Certified Administrative Professional (CAP) or PMP will be an advantage
- Strong understanding of financial terminology and investor-facing environments
- Willingness to travel overseas as and when required
Additional Requirements:
- Must possess valid Class 3A driving license
- Strong command of English and Chinese, to communicate effectively with Chinese-speaking stakeholders
