Job Description

We are looking for a highly organised and proactive Executive Assistant cum Office Manager to support our Singapore office and operations. Based in our Singapore office, this is a dynamic, hands-on role suited to someone who thrives in a fast-paced environment and enjoys balancing executive support with office management responsibilities.

Reporting to our International Business Development Director (IBDD) SEA, the Executive Assistant cum Office Manager provide Subject Matter Expert (SME) advice and guidance to a range of stakeholders across the company with respect to administrative/office management capabilities.

Other responsibilities include (but not limited to):

  • Provide high-level executive and administrative support, including diary management, travel coordination, correspondences, manage office supplies, expenses and basic finance administration (e.g. credit card reconciliation)
  • Oversee day-to-day office operations, ensuring a smooth and efficient workplace
  • Coordinate meetings, schedules and respond to queries with advice relation to business operations procedures
  • Actively attend and contribute to meetings as required and competently use computers and other systems to access and maintain data
  • Research, compile, review, analyse and process data and develop appropriate recommendations for approval
  • Induction of new personnel in office

Requirements:

Our ideal candidate is a pro-active team player with extensive experience and knowledge in executive assistance or office management. You have skills/demonstrated experience in:

  • Producing timely and accurate written reports as required.
  • Computer literacy with ability to analyse and interpret reports.
  • Advanced skills and experience in the use of MS Office and other relevant software packages and applications.
  • Budget management, calendar/appointment schedule and management, expense reimbursements and travel coordination.
  • Providing effective and sound administrative guidance and office management advice to employees.
  • Strong organisational and communication skills.
