Executive Assistant & HR Executive

Role Overview

We are seeking a versatile and proactive Executive Assistant & HR Executive to support senior leadership while overseeing core HR operations. This hybrid role requires someone who is highly organized, detail-oriented, and capable of balancing strategic support with hands-on execution in HR matters.

Key Responsibilities

1. Executive Support

  • Provide full administrative and business support to senior leadership, including calendar management, travel coordination, and meeting scheduling
  • Prepare presentations, reports, and briefing materials for internal and external stakeholders
  • Act as a key liaison between the executive and internal/external stakeholders
  • Track key initiatives, deadlines, and follow-ups to ensure timely execution

2. HR Operations & Administration

  • Manage end-to-end recruitment coordination (job postings, interview scheduling, candidate communication)
  • Support onboarding and offboarding processes, including documentation and employee setup
  • Maintain employee records and HR databases, ensuring accuracy and confidentiality
  • Assist in payroll coordination, leave tracking, and benefits administration

3. HR Business Support

  • Support implementation of HR policies, procedures, and employee handbooks
  • Assist in performance management cycles and employee engagement initiatives
  • Handle employee queries on HR-related matters
  • Work closely with leadership on organizational planning and hiring needs

4. Office & Culture Management

  • Oversee day-to-day office operations and vendor coordination
  • Plan company events, team-building activities, and internal communications
  • Help foster a positive and collaborative workplace culture

Requirements

  • Bachelor's degree or equivalent experience
  • 3-7+ years of experience in Executive Assistant, HR, or hybrid roles
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • High level of discretion and professionalism
  • Proficiency in Microsoft Office / Google Workspace
  • Ability to work in a fast-paced, dynamic environment

Preferred Qualifications

  • Experience in startups or regional HQ environments
  • Familiarity with Singapore HR practices and basic employment regulations
  • Exposure to supporting C-suite executives
