Executive Assistant & HR Executive
Role Overview
We are seeking a versatile and proactive Executive Assistant & HR Executive to support senior leadership while overseeing core HR operations. This hybrid role requires someone who is highly organized, detail-oriented, and capable of balancing strategic support with hands-on execution in HR matters.
Key Responsibilities
1. Executive Support
- Provide full administrative and business support to senior leadership, including calendar management, travel coordination, and meeting scheduling
- Prepare presentations, reports, and briefing materials for internal and external stakeholders
- Act as a key liaison between the executive and internal/external stakeholders
- Track key initiatives, deadlines, and follow-ups to ensure timely execution
2. HR Operations & Administration
- Manage end-to-end recruitment coordination (job postings, interview scheduling, candidate communication)
- Support onboarding and offboarding processes, including documentation and employee setup
- Maintain employee records and HR databases, ensuring accuracy and confidentiality
- Assist in payroll coordination, leave tracking, and benefits administration
3. HR Business Support
- Support implementation of HR policies, procedures, and employee handbooks
- Assist in performance management cycles and employee engagement initiatives
- Handle employee queries on HR-related matters
- Work closely with leadership on organizational planning and hiring needs
4. Office & Culture Management
- Oversee day-to-day office operations and vendor coordination
- Plan company events, team-building activities, and internal communications
- Help foster a positive and collaborative workplace culture
Requirements
- Bachelor's degree or equivalent experience
- 3-7+ years of experience in Executive Assistant, HR, or hybrid roles
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- High level of discretion and professionalism
- Proficiency in Microsoft Office / Google Workspace
- Ability to work in a fast-paced, dynamic environment
Preferred Qualifications
- Experience in startups or regional HQ environments
- Familiarity with Singapore HR practices and basic employment regulations
- Exposure to supporting C-suite executives
