Introduction to the Role
Our client a global technology leader, is seeking an Executive Administrative Assistant to support a General Manager (GM) and Business Manager (BM) within a high-performing ASEAN business unit.
This role sits at the core of the regional leadership team and is critical to ensuring smooth day-to-day operations. You will manage complex calendars, travel, executive visits, and operational logistics in a fast-paced corporate environment. Working closely with senior stakeholders, this role requires strong anticipation of needs, exceptional organisation, and the ability to operate independently with minimal supervision.

Key Responsibilities
Executive & Calendar Support
- Provide dedicated administrative support to a General Manager and Business Manager
- Manage complex, high-volume executive calendars with competing priorities
- Coordinate internal and external meetings, including room bookings and facilities management
Travel & Expense Management
- Manage end-to-end travel arrangements for senior leaders, including complex multi-leg international itineraries
- Coordinate flights, accommodation, ground transportation, and detailed itineraries
- Handle timely and accurate submission of executive expenses using corporate expense platforms
Executive Visits & Events
- Plan and execute executive visits, leadership meetings, and offsites
- Prepare agendas and briefing materials ahead of visits
- Liaise with external vendors for catering, venues, and logistics
Operational & Stakeholder Support
- Act as a point of contact for internal stakeholders and external suppliers
- Ensure day-to-day operational tasks are completed accurately and on time
- Anticipate priority shifts and proactively address issues before escalation
Requirements
- 4-5 years of experience as an Executive Assistant or Senior Administrative Assistant
- Proven experience supporting senior leaders (GM, BM, C-suite, or equivalent)
- Strong experience managing complex calendars, executive travel, and expenses
- Experience coordinating executive visits, events, and vendor relationships
- Background in a technology MNC or fast-paced corporate environment preferred
- High level of autonomy, organisation, and follow-through
- Proficient in Microsoft 365 tools (Outlook, Teams, SharePoint)
