The Administrative Executive (Childcare Centre) supports the smooth day-to-day operations of the centre by overseeing administrative, enrolment, and customer service functions. This role ensures accurate record-keeping, regulatory compliance, and effective coordination with parents, staff, and external stakeholders.
Manage daily administrative functions to ensure smooth centre operations
Maintain proper filing systems (digital and physical) for children and staff records
Handle procurement of centre supplies and inventory tracking
Support centre logistics, scheduling, and coordination of activities
Manage end-to-end enrolment processes (enquiries, registration, withdrawals)
Serve as the first point of contact for parents and visitors
Provide timely and professional responses to enquiries via phone, email, and walk-ins
Maintain strong parent engagement and satisfaction
Ensure proper documentation in line with ECDA requirements and centre policies
Maintain accurate records for licensing, audits, and inspections
Support subsidy applications and ensure timely submission of required documents
Monitor attendance and child-related documentation
Assist with fee collection, invoicing, and subsidy tracking
Reconcile payments and maintain proper financial records
Liaise with HQ finance team on billing and reporting matters
Maintain staff records (leave, attendance, certifications, training)
Support onboarding and documentation for new hires
Coordinate staff schedules and administrative needs
Update centre data in relevant systems (e.g. ECDA portals, internal HRMS)
Prepare monthly reports (enrolment, attendance, finance, etc.)
Ensure data accuracy and timely submission to HQ / authorities
Diploma in Business Administration, Early Childhood, or related field
1-3 years of administrative experience (childcare/preschool setting preferred)
Familiarity with ECDA requirements and subsidy processes is an advantage
Proficient in Microsoft Office and administrative systems
Strong organisational and multitasking skills
Good interpersonal and communication skills
Working Hours
Official working hours are aligned with centre operations. Flexibility may be required based on operational needs.
