Executive, Admin (Day Activity Center) – Yio Chu Kang
Working Location: Yio Chu Kang
To manage the administration matters and processes for our New Day Activity Center, working closely with internal and external stakeholders for reporting, funding, referral, and operational needs as necessary.
Responsibilities
- Drive and manage the CMS system client records, including creation of client records, assessment, discharge records, and uploading of documents under the appropriate clients.
- Drive and manage the BC system, including invoicing and billing of client payments.
- Submit reports for admission, discharge and status change of clients. This includes collating the monthly musters, waitlist, and transport reports to external and internal Finance department. It also encompasses annual audit, outcome indicators, and milestones reports.
- Chart and coordinate annual, monthly, and ad-hoc procurement and goods receiving of clients meals, activity equipment and materials, hygiene items and medical disposables, uniforms, and petty cash fund.
- Schedule and adjust clients daily transport with the transport vendor and caregivers as necessary.
- Disseminate and collate caregiver communication letters, surveys, and consent forms.
- Manage general administrative work, including the following:
- Inventory controls
- Invoicing and monitoring of collections
- Coordinate clients registration, attendance, fee collections, allowance, etc. including following up with caregivers on late fee payment
- Coordinate logistics and house keeping
- Liaise with finance department on financial records, including on fee collection
- Attend to all enquiries from caregivers as well as general questions about the services
- To support or participate in events organised/ supported by SPD as and when required.
- Any other duties assigned as and when necessary.
Requirements
- Diploma Certification from a recognised educational institution.
- Demonstrate appropriate levels of sensitivity when communicating with caregivers, partners, and other stakeholders from various backgrounds.
- Good interpersonal and communication skills.
- Possess strong planning and organisational skills.
- Good understanding of basic Finance and billing concepts.
- Self-motivated and keen to develop professionally.
- Work effectively both as an individual and as part of a multi-disciplinary team.
- Relevant experience in Social services is preferred.
- Strong commitment of care toward adults with disabilities and a positive mindset towards their development and growth. Patient, positive and passionate about working with adults with disabilities
