How will you make an impact in this role

Global & Multinational Client Group – International | Executive Assistant

This is an opportunity to be part of a dynamic team that manages the largest, strategic global commercial clients. This position is responsible for administrative support for two Vice Presidents in the Global & Multinational Client Group – International, Global Commercial Services.  This is a high-paced environment which requires planning, prioritization, problem-solving and collaboration skills, strong communication, attention to detail and flexibility. The ideal candidate must be experienced in handling a wide range of administrative related tasks and be able to work independently and confidently under pressure. Building strong relationships with stakeholders and team across geographies, being resourceful, and knowing how to navigate large organizations fluidly will also be critical to success in this position.

Overview of Job Responsibilities:

  • Manage complex executive calendars, proactively resolve scheduling conflicts, maintain appointment schedule by planning and scheduling meetings with senior executives, internal business partners and with our global clients across multiple time zones

  • Maintains confidentiality across multiple segments including but not limited to customer information, business insight and colleague personal information

  • Ensure smooth day-to-day scheduling and meeting logistics

  • Anticipate and coordinate domestic and international travel arrangements and detailed itineraries

  • Serve as a primary point of contact for internal and external stakeholders

  • Liaise on behalf of executives with professionalism and discretion

  • Maintain organization charts and key distribution lists

  • On a monthly basis, prepare, review, and process expense reports in compliance with company policy. Be well versed in expense policies and help to ensure team stays within budget

  • Provides a broad variety of administrative tasks for VPs and respective teams, organize on and off-site meetings (including catering) and assist in management of client events

  • Support onboarding and general office operations, including IT coordination

  • Participate in team meetings and contribute to team initiatives

  • Play a prominent role in team engagement effort for geographically dispersed teams.

  • Support special projects and promote a collaborative team environment

Minimum Qualifications:

  • Proven experience providing support to executives with exceptional organizational, administrative and interpersonal skills, a keen attention to detail and a sense of urgency in execution and follow-up

  • Ability to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting and changing priorities with little direction

  • A strong sense of integrity with ability to handle sensitive issues and maintain complete confidentiality

  • Positive attitude, solutions-oriented, proactive, able to prioritize, and reliable

  • Proven team player and collaborator

  • Intermediate to advanced computer skills required, including proficiency with Microsoft Office including PowerPoint, Excel, Word and Outlook

  • Knowledge of myHR, Concur Expense & Travel, Oracle Procurement, SharePoint, WebEx, ONE.force, Slack, Co-Pilot

  • Excellent written and verbal communication skills

  • Flexibility, ability to work effectively in a team, anticipate needs and seeks ways for leader's organization to run efficiently

  • Exudes professional maturity

  • Bachelor's degree a plus
