Role Description
We are seeking a proactive, detail-oriented and highly organised Events & Operations Executive to support the planning, coordination and delivery of the Society's events and operational activities. This hands-on role requires strong project coordination, stakeholder management and administrative capabilities to ensure smooth execution and a positive participant experience.
Key Responsibilities
- Event Planning & Execution: Coordinate end-to-end delivery of physical, virtual and hybrid events, including venues, vendors, catering, registration, event materials and onsite logistics. Work closely with the MarComm team on event marketing and communication materials.
- Stakeholder Coordination: Liaise with speakers, volunteer committees, partners, vendors and other stakeholders to support smooth and professional programme delivery.
- Event Administration: Manage event setup and registration, participant communications, attendance tracking, enquiries, Professional Learning Hours, surveys and post-event follow-ups.
- Systems & Data Management: Maintain accurate event and participant records across operational platforms and generate reports to support planning and evaluation.
- Financial & Operational Support: Support event budgeting, reconciliation, invoice and payment processing maintain event documentation and assist with office administration and operational initiatives as required.
- Continuous Improvement: Review event outcomes and participant feedback and recommend improvements to enhance efficiency and participant experience.
Requirements
- Diploma or Degree in Business Administration, Event Management, Marketing, Communications or a related discipline.
- At least 2 years of relevant experience in events, programme administration, project coordination or operations.
- Strong organisational and coordination skills, with good attention to detail and the ability to manage multiple priorities and deadlines.
- Proactive, resourceful and service-oriented, with good communication and stakeholder management skills.
- Able to work independently and collaboratively in a fast-paced environment.
- Proficient in Microsoft Office and comfortable using event registration, CRM and other digital platforms.
- Willing to support events outside regular office hours when required
