Job Overview

Woodlands Social Centre is looking for a creative, organised, and motivated Events & Media Executive to support the organisation's fundraising, communications, events, and donor engagement efforts.

The Events & Media Executive will work closely with the Fundraising Manager to plan and execute social media content, maintain website updates, support fundraising events, assist with annual reports, coordinate organisational videos, and help strengthen relationships with donors, partners, volunteers, and the wider community.

This is a junior executive role suitable for someone who has strong interest in communications, social media, events, storytelling, and community work. The candidate is not expected to independently lead the organisation's fundraising strategy, but should be able to support campaign execution, contribute ideas, and help communicate the impact of WSC's work clearly and meaningfully.

Key Responsibilities

1. Social Media and Communications Support

  • Assist in planning, creating, and scheduling content for WSC's social media platforms.
  • Support the development of monthly social media calendars and campaign content.
  • Create simple graphics, captions, short videos, reels, and publicity materials.
  • Help communicate WSC's programmes, community impact, fundraising needs, volunteer opportunities, and donor stories.
  • Monitor basic social media engagement and suggest improvements to increase awareness and reach.
  • Ensure that all content is aligned with WSC's mission, values, tone, and safeguarding standards.

2. Website Maintenance and Digital Updates

  • Assist in updating WSC's website with current programme information, campaigns, news, events, and impact stories.
  • Upload and format content such as text, photos, event updates, and campaign information.
  • Work with internal teams to gather accurate information for website updates.
  • Ensure that website content remains clear, updated, and accessible to the public, donors, partners, and volunteers.

3. Fundraising Events Support

  • Support the planning and execution of fundraising events, donor appreciation events, campaigns, and community engagement activities.
  • Assist with event logistics, registration, publicity, volunteer coordination, guest management, and post-event follow-up.
  • Prepare simple event collaterals such as posters, invitations, slides, programme booklets, and donor materials.
  • Support event documentation through photos, videos, write-ups, and post-event summaries.

4. Annual Reports and Organisational Publications

  • Assist in gathering programme updates, photos, client stories, statistics, and impact highlights for WSC's annual report.
  • Support the drafting, coordination, editing, and layout preparation of annual reports and organisational publications.
  • Work with programme teams to present WSC's impact in a clear, professional, and meaningful manner.
  • Help ensure that published materials are accurate, well-organised, and aligned with WSC's branding.

5. Partnership and Donor Relations Support

  • Assist the Fundraising Manager in maintaining relationships with donors, partners, churches, corporations, and community stakeholders.
  • Support the preparation of donor updates, appreciation messages, impact reports, and simple partnership materials.
  • Help coordinate meetings, visits, presentations, and engagement opportunities with partners and potential donors.
  • Maintain simple records of donor communications, partnership engagements, and follow-up actions.

6. Organisational Video and Storytelling Projects

  • Assist in coordinating organisational videos, programme videos, fundraising videos, and donor engagement videos.
  • Support the development of video concepts, interview questions, filming schedules, storyboards, and production briefs.
  • Coordinate with staff, volunteers, beneficiaries, partners, and external vendors where required.
  • Ensure that video content presents WSC's work in a respectful, clear, and impactful way.
  • Support consent-taking and safeguarding processes when stories, photos, or videos involve clients, families, volunteers, or staff.

7. Administrative and Team Support

  • Provide administrative support for fundraising, communications, events, and partnership-related work.
  • Assist with maintaining contact lists, campaign calendars, event checklists, reports, records, and documentation.
  • Work collaboratively with staff across departments to gather stories, updates, photos, and programme information.
  • Carry out other duties assigned by the Fundraising Manager or management.

Requirements

  • Diploma or Degree in Communications, Media, Marketing, Events Management, Mass Communication, Design, Social Sciences, Social Work, or a related field.
  • Entry-level candidates or candidates with 1-2 years of relevant experience may apply.
  • Experience in social media, events, content creation, communications, design, video coordination, or non-profit work will be an advantage.
  • Good written and verbal communication skills.
  • Able to write clear captions, simple articles, donor updates, event publicity, and website content.
  • Familiarity with social media platforms such as Facebook, Instagram, LinkedIn, TikTok, or YouTube.
  • Basic design or video editing skills using Canva, CapCut, Adobe Express, Photoshop, Illustrator, Premiere Pro, or similar tools will be an advantage.
  • Comfortable with website content updates or willing to learn basic website maintenance.
  • Organised, responsible, and able to manage multiple tasks and deadlines.
  • Able to work occasional evenings or weekends for events, fundraising activities, or organisational programmes when required.
  • Passionate about community work, families, children, vulnerable groups, and the social service sector.

Working Hours

Monday to Friday, office hours.

Occasional evening or weekend work may be required for fundraising events, donor activities, or organisational programmes. Time-off arrangements will be in accordance with organisational policy.

Reporting Officer

The Events & Media Executive will report to the Fundraising Manager.
