Position Summary
The Events Executive will be responsible for planning,organizing,and executing events for the Filipino Congregation. This role ensures that all gatherings, celebrations, and ministry-related events are carried out with excellence, aligned with the church's vision and mission, and foster engagement, fellowship, and spiritual growth among members.
Key Responsibilities
Event Planning & Coordination
- Conceptualize and plan congregation-related events such as worship services, conferences, anniversaries, fellowships, outreach events, and special celebrations.
- Prepare event proposals, budgets, and timelines for approval.
- Secure venues, vendors, and resources needed for each event.
- Coordinate logistics including stage setup, audio-visual, hospitality, transportation, and registration.
Team Management
- Recruit, train, and coordinate volunteers for event execution.
- Work closely with ministry teams (worship, ushers, multimedia, hospitality, etc.) to ensure smooth flow of events.
- Provide clear communication and delegation of roles to staff and volunteers.
Execution & Follow-Up
- Oversee events from start to finish, ensuring excellence and timeliness.
- Manage on-site troubleshooting and ensure smooth event flow.
- Conduct post-event evaluations and prepare reports with recommendations for improvement.
Administration & Communication
- Maintain an annual events calendar for the Filipino Congregation.
- Develop communication materials in collaboration with media and communications teams (programs, invitations, promotional materials).
- Monitor and manage event budgets responsibly.
Qualifications
- Bachelor's degree in Events Management, Hospitality, Communications, or related field (or equivalent experience).
- At least 2 years of experience in events management, preferably in a church or non-profit environment.
- Strong organizational and project management skills.
- Experience in branding and publicity to effectively support event promotion.
- Ability to create simple visual materials using basic design tools.
- Excellent communication and interpersonal skills.
- Fluency in English and Tagalog (spoken and written) is required.
- Ability to work with diverse teams and volunteers.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is a must.
- Highly adaptable, with the ability to respond effectively to changing priorities and last-minute adjustments.

Working Conditions
- Willingness to work evenings, weekends, and public holidays as events require.
- Role involves both office-based work and on-site event supervision.
