Job Description

Job Overview:

The Event Operations Executive/Manager is responsible for supporting the end-to-end planning, coordination, and execution of events. This role ensures smooth on-ground operations, effective vendor management, and exceptional event experiences that meet both client and company objectives.

Key Responsibilities:

Event Planning & Coordination

  • Assist in the planning and execution of events from concept to completion.
  • Coordinate logistics such as venue setup, catering, AV, equipment rental, licenses applications and staffing.
  • Liaise with vendors, suppliers, and partners to ensure timely delivery of services.
  • Prepare and manage event timelines, checklists, and operations documents.

On-Site Event Management

  • Supervise setup, registration, and teardown of events.
  • Manage on-ground operations and troubleshoot issues in real-time.
  • Ensure smooth coordination between internal teams, suppliers, and clients during the event.
  • Maintain brand consistency and uphold event quality standards.

Administration & Reporting

  • Support budget tracking and procurement processes.
  • Prepare post-event reports, including photos, attendee feedback, and performance analysis.
  • Maintain event inventory, materials, and collateral.

Client & Stakeholder Engagement

  • Work closely with clients to understand event requirements and expectations.
  • Provide operational updates and ensure client satisfaction throughout the event lifecycle.
  • Support the marketing and creative teams in integrating event branding and communications.

Requirements:

  • Diploma or Degree in Events Management, Marketing, Communications, or a related field.
  • 1-3 years of experience in event operations or coordination
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office and familiar with event management tools or software.
  • Willing to work flexible hours, including evenings, weekends, and public holidays when required.
