JOB SUMMARY:
Live Nation is launching a new, purpose-built mid-size live music venue in Singapore with a capacity of 3,000. Designed to host both international touring acts and local artists, as well as ancillary content such as comedy, community and private hire events. The venue will also feature secondary activation spaces and externally facing public café and bar.
The Event Manager will be responsible for the planning, coordination, and execution of live events at the venue, ensuring seamless delivery to the highest standards of safety, efficiency, and guest experience.
Joining at the mobilisation stage, this role will play a critical role and will be involved in establishing processes, systems, and standards before the venue opens to the public.
Reporting to the Head of Operations, this role will lead teams of casual staff and contractors and work closely across all departments to ensure event requirements are aligned and fully prepared, delivering memorable experiences for event hirers, patrons, and fans.
ROLE & RESPONSIBILITIES:
Event Planning & Operations
- Liaise with hirers and promoters in planning, coordination, and management of all aspects of events, including documentation for permits with local authorities.
- Ensure all seat plans and seat configuration guidelines are adhered to, maintaining accuracy in layouts and compliance with venue standards.
- Develop detailed event and security plans including timelines, budgets, logistics, and manpower staffing needs.
- Oversee event builds, load-ins, and promoter activities in collaboration with the relevant departments.
- Act as the primary point of contact for clients, vendors, and operational staff on event day.
- Capture all event administration in venue management systems, including post-event reporting and analysis.
Front of House & Guest Experience
- Ensure FOH presentation and staffing (ushers, security, cloakroom, medical, cleaning) meet high standards.
- Coordinate patron ingress and egress for concerts, functions, and conferences.
- Ensure public information systems (screens, announcements, signage) display accurate event details.
- Conduct pre-event checks to identify and resolve safety or security issues before public arrival.
- Supervise casual and contracted FOH staff, ensuring clear communication with venue leads and key personnel.
Safety & Compliance
- Overseeing the event control room and all aspects of event security.
- Update and enforce venue emergency evacuation procedures; ensure FOH staff, contractors, and security are trained.
- Conduct risk assessments and safety planning in conjunction with the global security and safety team.
- Ensure compliance with local legislation, Live Nation standards, codes of practice, and venue policies at all times.
Ticketing Operations
- Work closely with the appointed ticketing agent and promoters to ensure accurate event builds in ticketing systems.
- Support the set up of Ticketing Box Office Operations
- Monitor ticket sales data to forecast audience attendance and ensure manpower numbers are adequate across FOH, security, medical, and cleaning teams. Provide operational feedback to promoters and the Head of Operations to align staffing with expected crowd size.
Staff Management & Training
- Recruit, train, and manage casual labour and contractors,
- Conduct training sessions for manpower suppliers, staff, and security to ensure familiarity with event procedures, safety protocols, and customer service standards.
- Schedule and assign staff to event roles, ensuring adequate coverage and support throughout the event.
Financial & Administrative Oversight
- Prepare and manage event budgets, monitoring expenditures to support efficient event delivery.
- Collaborate with Finance to streamline documentation, reporting, and financial approvals.
Continuous Improvement & Industry Engagement
- Gather operational metrics, client feedback, audience surveys, and staffing reports after each event.
- Review outcomes against KPIs, budgets, safety standards, and guest experience benchmarks to identify strengths and gaps.
- Analyse post-event reports, highlighting successes and challenges, and translate findings into actionable recommendations.
- Implement strategies based on analysis to enhance efficiency, safety, customer satisfaction, and promoter relations for future events.
REQUIREMENTS :
- Bachelor's degree in Event Management, Hospitality, Business, or a related field (desirable).
- Proven experience at Assistant/Event Manager level, with at least 5 years leading end-to-end delivery of mid-to-large scale events in a mid-to-high volume, fast-paced environment.
- Proven experience in venue or event management, with strong mobilisation and logistics expertise.
- Demonstrates leaderships skills in management of staff and contractors.
- Strong understanding of local event regulations and permitting processes.
- General understanding of the technical requirements of live entertainment events.
- Understanding of OH&S risk assessment and licensing issues for events.
- Exceptional interpersonal and communication skills, with the ability to work effectively with diverse stakeholders and a broad range of event promoters and owners.
- Ability to work to deadlines with strong attention to detail.
- High initiative and proactive mindset, with the ability to anticipate needs, identify problems early, and develop effective solutions.
- Proven ability to manage multiple events simultaneously and handle high-pressure situations with tact and diplomacy.
- Enthusiastic about live music and events.
- Proficient in MS Office (Word, Excel, PowerPoint) and familiarity with venue digital platforms.
- Proficiency with venue and event management software, scheduling tools, and logistics technology.
- Good communication skills in English; Chinese language proficiency beneficial
- Autocad Skills (Preferred)
- Ability to work effectively in diverse cultural environments.
- Able to work weekends, after office hours and public holidays.
- Ability to get on call for critical incidents during live events.
- Carry out any other duties that are deemed reasonable and associated with the role.
