Role Description
The NIIT Client Executive / Meet & Greet is responsible for achieving the overall business and learning goals for the APAC region (minus India). The Meet & Greet aspect is to be responsible for co-ordinating and scheduling arrangements for delivery of training programs, events and workshops, including all logistical support. The role is required to manage and coordinate multiple tasks and detailed activities in a time-intensive work environment. The role is accountable for realising deep stakeholder engagement, driving business intimacy and collaboration for delivery of learning and business strategies. The role reports to the Program Director.
The Client Executive / Meet & Greet responsibilities will include:
- Working closely with the Regional Delivery Managers (RDMs) to provide service excellence
- Work closely with NIIT programme managers & project managers to ensure all service levels are met
- Support Singapore Trainings + Grant Applications.
- Engaging with key Rolls-Royce stakeholders to provide Quarterly training summaries for both sites as well an annual training planning.
- In close liaison with the incumbent learning co-ordinator, ensure presence in both the Seletar and Tukang training sites and ensure all training logistics and Meet & Greet actions are managed effectively and without issue.
- Participate in performance review meetings (regional & global)
- Contribute to defining operational process for continuous improvements and adherence to service level agreements
- Build strong partnering relationship with NIIT and client regional stakeholders
- Engage with business stakeholders to efficiently manage large sourcing requirements in the region
- Engage with key suppliers to efficiently manage large sourcing requirements
- Proactively challenge suppliers and customers to ensure the sourced solution meets underlying learning needs
- Deliver targeted cost savings in the region
- Benchmark regional vendor pricing
- Initiate optimisation projects with Regional Delivery Managers (RDMs) & business stakeholders that will help drive costs down without compromising quality
- Educate & guide service requestors, managers and functional capability lead on the process systems & processes
- Educate & guide services requestors on value of using NIIT services, new learning methodologies and architecture
- Provide support and meaningful engagement to regional HR stakeholders in tailoring requirements
- Review performance and ensure quality standards are met by suppliers
- Provide updates to regional delivery managers and key business stakeholders on supplier engagements
- Provide additional onsite support to operations teams on a need basis
- Ensure onsite training event activities are performed as per the Event Readiness Process/System. Booking the venue for offsite activity or social events and Provide Emergency support / help for training
- Ensure the training Facilities are setup correctly and have the necessary equipment Management at facility. Communicate with instructors and outside vendors in both written and spoken correspondence. Coordinate and block Instructor's dates & timing in line with the training and workshop calendars
- Arrange for the training materials, manuals, hand-outs and other instructional aids; arrange for equipment setup (like AV, toys, etc.) and refreshments. • Manage the training logistics (training room booking, manage access, photographer, etc.) and sharing detailed information to participants and trainers in advance • Monitor completion of training activities - Pre-work, Certificates • Calibrate with Remote Coordinators for any changes/updates in the training event/program • Makes sure all arrangements are made for participants and trainers • Communicates with venue staff/vendors; makes sure scheduled training breaks work with the facility's meal schedule • Ensure the Event Facilities are set-up correctly and have the necessary equipment along with clear messaging of class • Escort external instructor in and out of training facility • Participate in the kick-off of the program, administer the essential program briefings, calibrate with the speaker and stakeholders • Communicate with the internal and external vendors, ready the Purchase Order whenever required.
The client executive will possess skills & qualifications:
- A graduate with minimum five years experience working onsite at large corporate customer locations
- Minimum three years experience working in a matrix reporting structure; NIIT delivery and strategic sourcing practices along with Rolls-Royce L&D teams
- Minimum three years experience in managing sourcing activities – project manage, benchmark, supplier evaluation, etc., that will yield cost savings
- Proactive approach to delivering solutions, be innovative and challenge as required. Customer focused and commercially aware to deliver outstanding results
- Effective negotiation skills are an advantage, to support strategic sourcing and gain savings
- Proven communication skills (telephone, email and face-to-face) and be able to deal with learners at all levels of seniority, along with a 3 years track record in stakeholder engagement, governance and management
- Demonstrates knowledge & expertise on basic IT software such as Microsoft, word, PowerPoint, Excel, Visio and databases
- High attention to detail and has the ability to interpret data and other information accurately.
- Should be familiar with Workday Learning or similar learning management systems (LMS)
- Possess valid work permit, complying to local laws that will allow working at customer location as full-time employee
