Responsibilities

We are looking for an organised and proactive E-Resources & Subscriptions Specialist to support the management of our electronic resources, including e-books, online databases, digital publications and other subscription-based resources.

You will manage subscriptions across their lifecycle - from acquisition and activation to licensing, invoicing, usage monitoring, renewal and cancellation. You will also work closely with vendors and internal stakeholders to ensure subscriptions remain accessible, cost-effective and well managed.

This is an ideal opportunity for someone with experience in library services, publishing, subscription management, procurement, information management or vendor management who enjoys coordinating multiple subscriptions and keeping processes running smoothly.

You will cover the following :

  • Manage the end-to-end subscription lifecycle for e-books, database and digital resources, including activation, access, renewals and cancellations.
  • Track subscription renewals, usage and deadlines to support renewal, replacement or cancellation decisions.
  • Source quotations, coordinate purchasing and manage vendor relationships in accordance with procurement procedures.
  • Maintain licence agreements, usage rights, access restrictions and subscription records.
  • Manage invoices, billing accuracy, and subscription costs maintain financial documentation and prepare relevant reports.
  • Coordinate with vendors and internal teams to resolve subscription, authentication and access issues, while improving administrative processes.

Requirements

  • Diploma or Degree in Library & Information Science, Information Management, Business Administration, Procurement, Supply Chain Management, or a related discipline with a minimum of 1 year of relevant experience in acquisitions, subscription management, e-resources, procurement, publishing, library services or a related area.
  • Candidates with other qualifications and relevant practical experience are also encouraged to apply.
  • Strong organisational skills, with the ability to manage multiple subscriptions, deadlines and renewals.
  • Strong communication, interpersonal, and vendor-management skills.
  • Strong attention to details in managing contracts, invoices and subscription records.
  • Familiarity with e-resources, digital publishing and subscription models would be an advantage.
  • Proactive, adaptable and collaborative, with a positive attitude to embrace changing priorities, when required.
