Job Description
Reporting to the Manager of the Project and Management Control Department, the incumbent will be responsible for supporting the preparation, control, and management of project engineering drawings and documentation, including the transmission, registration, and filing of documents in accordance with established policies and procedures.
The role includes the following responsibilities:
- Provide Document Controller services to the Client in accordance with Project Contract requirements.
- Manage and maintain document and drawing standards, templates, and numbering systems used within the Project.
- Ensure completeness and accuracy of all incoming and outgoing documents and drawings based on issued and received transmittals.
- Maintain and update project documentation throughout the work processes and project lifecycle in accordance with company policies and procedures.
- Register incoming and outgoing documents and drawings in Pims DC or Omega 365 Document Management System.
- Ensure proper distribution of documents and drawings to relevant stakeholders in accordance with the agreed Document Distribution Matrix (DDM).
- Monitor and ensure compliance with LCI (Life Cycle Information) requirements and project procedures.
- Identify and resolve document control related issues in coordination with project teams and stakeholders.
- Produce reports and statistical summaries indicating the status of documentation progress and update spreadsheets and project dossiers accordingly.
- Compile, organize, and maintain records in Omega 365 Document Management on a regular basis to ensure accurate and accessible data for relevant personnel and departments.
- Provide administrative support to team members where required to achieve project objectives and deadlines.
Requirements
- A/O Level, NITEC, Higher NITEC, Diploma, or Degree in a relevant discipline.
- Minimum 3 years of relevant experience as a Document Controller in the Oil & Gas, Offshore, Marine, or similar industry.
- Experience with Pims DC, Omega 365 Document Management, or similar EDMS solutions will be preferred.
- Good working knowledge of Microsoft Office applications, particularly Excel and PowerPoint.
- Good written and spoken English communication skills.
- Ability to converse in Mandarin/Chinese will be an advantage when liaising with Chinese-speaking stakeholders.
