Digital Project Manager

About the Role

Make Studios is looking for a Digital Project Manager to manage the delivery of interactive digital experiences for museums, exhibitions, events, visitor attractions, and commercial installations.

You will oversee projects involving HTML5 applications, touchscreen kiosks, games, interactive exhibits, websites, multimedia content, hardware integration and on-site deployment.

This is an IT-centric project-management role. You should be comfortable discussing multimedia software development, technical requirements, system architecture, hardware dependencies, testing, deployment, and troubleshooting with developers and technical teams.

You do not need to be a programmer, but you must understand how digital projects are planned, developed, tested, installed, and supported.

Key Responsibilities

Project Planning and Delivery

  • Manage digital and interactive projects from initial briefing through design, development, testing, deployment, and handover.
  • Define project scope, deliverables, timelines, milestones, responsibilities, and dependencies.
  • Break down projects into clear workstreams and actionable tasks.
  • Prepare and maintain project schedules, implementation plans, risk registers, and status reports.
  • Coordinate multiple projects concurrently while ensuring that deadlines and quality standards are met.
  • Monitor progress, identify delays early, and take corrective action where required.
  • Manage changes to project scope, timeline, cost, and technical requirements.
  • Ensure that project documentation remains accurate and up to date throughout the project lifecycle.
  • Ensure timely delivery of project milestones.

Digital and Technical Project Management

  • Manage projects involving HTML5 applications, websites, touchscreen kiosks, Unity games, multimedia systems, and interactive installations.
  • Work with developers to understand software requirements, technical risks, integration points, and estimated development effort.
  • Coordinate software, content, hardware, networking, and installation requirements.
  • Review functional specifications, user flows, system diagrams, and technical documentation.
  • Understand common digital-project concepts such as APIs, databases, content-management systems, networking, version control, software builds, and testing environments.
  • Track technical dependencies between software, hardware, content, and third-party systems.
  • Coordinate integration with devices such as touchscreens, cameras, sensors, RFID or NFC readers, printers, lighting systems, and other interactive hardware.
  • Ensure that development, staging, testing, and production environments are properly planned and managed.
  • Coordinate software releases, updates, bug fixes, and final deployment builds.

Client and Stakeholder Management

  • Act as the main point of contact for assigned clients and project stakeholders.
  • Lead project meetings, progress updates, design reviews, technical discussions, and testing sessions.
  • Translate client requests into clear instructions for designers, developers, content teams, and vendors.
  • Manage client expectations regarding timelines, technical feasibility, scope, and project limitations.
  • Document meeting decisions, action items, responsibilities, and deadlines.
  • Obtain timely approvals for designs, content, development milestones, and final deliverables.
  • Handle feedback professionally and ensure that revisions are tracked and implemented correctly.
  • Escalate major risks, disputes, delays, or scope changes to management when necessary.

Team Coordination

  • Coordinate internal teams including designers, developers, animators, content producers, technical specialists, and installation personnel.
  • Assign tasks and ensure that team members understand project requirements and priorities.
  • Conduct regular internal project reviews and progress checks.
  • Remove blockers and help team members obtain the information, assets, approvals, or access required to complete their work.
  • Balance team workload across multiple projects.
  • Ensure clear communication between creative, technical, production, and client-facing teams.
  • Support the team in making practical decisions when creative, technical, budget, and timeline considerations conflict.
  • Encourage early identification of risks rather than allowing problems to surface near deployment.

Quality Assurance and Testing

  • Develop testing plans and acceptance criteria for digital applications and interactive installations.
  • Coordinate internal quality assurance, usability testing, hardware testing, and user acceptance testing.
  • Track bugs, issues, feedback, and change requests until resolution.
  • Verify that completed work matches approved designs, functional specifications, and client requirements.
  • Ensure that applications are tested under realistic operating conditions before deployment.
  • Confirm that all required content, hardware, networking, and system integrations are ready before installation.
  • Coordinate retesting after updates or bug fixes.
  • Ensure that final systems are stable, documented, and ready for public use.

Installation and Deployment

  • Plan and coordinate on-site installation, testing, commissioning, and project launch activities.
  • Prepare installation schedules, site checklists, equipment lists, manpower plans, and contingency arrangements.
  • Coordinate access, permits, delivery timings, networking, power, mounting, and other site requirements.
  • Work with technical teams and vendors to ensure that hardware and software are installed correctly.
  • Manage on-site testing and issue resolution.
  • Ensure that critical defects are resolved before public launch.
  • Coordinate training, operating instructions, handover documents, and acceptance sign-off.
  • Manage post-launch support, warranty issues, and outstanding defect lists.
  • Be available for occasional after-hours or weekend support during installations and launches.

Budget and Vendor Management

  • Track project budgets, costs, purchases, and vendor commitments.
  • Obtain quotations and coordinate with external vendors, fabricators, hardware suppliers, and technical partners.
  • Compare supplier proposals and highlight technical, commercial, or scheduling risks.
  • Ensure that purchase requirements are raised early enough to avoid project delays.
  • Monitor long-lead items and delivery schedules.
  • Verify that vendor deliverables meet project requirements before acceptance.
  • Track variations, additional work, and out-of-scope requests.
  • Support management in maintaining project profitability.

Documentation and Reporting

  • Prepare project schedules, meeting minutes, status reports, action lists, risk registers, testing records, and handover documents.
  • Maintain organised project folders and records.
  • Document project decisions, client approvals, and scope changes.
  • Provide clear progress reporting to management and project stakeholders.
  • Prepare technical and operational documentation with support from developers and technical teams.

Requirements

  • Diploma or degree in Information Technology, Computer Science, Digital Media, Interactive Media, Engineering, Project Management, or a related discipline.
  • Approximately 3 to 6 years of relevant project-management experience.
  • Experience managing software, web, application, multimedia, or other digital projects.
  • Good understanding of the software-development lifecycle.
  • Able to understand and discuss technical requirements with developers and vendors.
  • Familiarity with project planning, task management, risk management, testing, and deployment.
  • Strong organisational and time-management skills.
  • Able to manage several projects and priorities concurrently.
  • Strong written and verbal communication skills.
  • Comfortable dealing directly with clients and senior stakeholders.
  • Able to produce clear project documentation and meeting records.
  • Strong problem-solving ability and attention to detail.
  • Comfortable working in a fast-moving project environment with changing requirements.
  • Able to take ownership of projects and follow through until final completion.
  • Willing to attend site visits and support installations outside standard office hours when required.

Preferred Experience

  • Experience managing projects for museums, exhibitions, visitor attractions, events, or experiential installations.
  • Experience with touchscreen kiosks, interactive displays, Unity applications, websites, or multimedia systems.
  • Familiarity with HTML5, JavaScript, Unity, APIs, databases, or content-management systems.
  • Understanding of networking, Windows systems, local servers, cloud services, and software deployment.
  • Experience coordinating hardware and software integration.
  • Familiarity with devices such as RFID, NFC, cameras, sensors, printers, LED walls, projectors, or audio-visual systems.
  • Experience using tools such as Microsoft Project, Smartsheet, Monday.com, ClickUp, Jira, Trello, or similar platforms.
  • Familiarity with Agile, Scrum, Waterfall, or hybrid project-delivery methods.
  • Experience managing user acceptance testing and software bug tracking.
  • Experience working with government agencies, museums, cultural institutions, main contractors, consultants, or major brands.
  • Basic understanding of procurement, quotations, variations, and vendor management.
