Job Description

We are looking for a reliable Despatch Clerk / Conveyancing Runner who will be responsible for delivering, collecting and lodging legal and conveyancing documents, attending to exercise of options, completion of property transactions, and supporting the conveyancing team in time-sensitive operational matters, and also the litigation team's despatch.

Key Responsibilities

  • Deliver and collect legal documents, conveyancing documents, cheques, cashier's orders, keys and other transaction items.
  • Attend at law firms, banks, CPF Board, HDB, SLA, IRAS, MCST offices, managing agents, property agencies and clients premises.
  • Obtain proper acknowledgements, signatures, stamps, delivery slips or receipts for all deliveries and collections.
  • Assist with exercise of options by delivering duly exercised Options to Purchase, cheques and related documents within the required deadline.
  • Attend completion appointments for property transactions at law firms, banks or other designated venues.
  • Deliver and collect completion documents, keys, access cards, title documents, cheques and cashier's orders.
  • Maintain despatch records and assist with general administrative tasks such as scanning, photocopying, filing and organising documents.

Key Skills and Competencies

  • Reliable, responsible and trustworthy when handling confidential documents and valuable items.
  • Punctual and highly conscious of deadlines, especially for exercise of options and completion matters.
  • Careful and detail-oriented in checking documents, names, addresses, cheques and instructions.
  • Able to follow instructions accurately and ask for clarification when needed.
  • Good communication skills to update the conveyancing team clearly and promptly.
  • Familiar with Singapore routes, public transport and common conveyancing locations.
  • Able to work independently and manage multiple errands efficiently.
  • Calm under pressure and able to handle urgent, time-sensitive tasks.
  • Professional and courteous when dealing with clients, law firms, banks, agents and external parties.
  • Prior law firm or conveyancing experience is an advantage, especially knowledge of exercise of option and completion procedures.
  • Has own transport vehicle and valid licence to operate such vehicle.
