JOB SUMMARY
The Dental Laboratory Administrative Coordinator is a critical role responsible for the seamless integration of clinical orders into the laboratory production workflow. This position acts as the central hub for communication between dental clinics and technical staff, ensuring all patient cases are registered, tracked, and delivered with the highest level of accuracy while maintaining the laboratory's essential material supply chain through proactive inventory management.
KEY RESPONSIBILITIES
Case Management & Registration: Receive and log incoming physical impressions and digital scans (3Shape, Medit, iTero) into the lab management system with high attention to detail.
Clinical Liaison: Act as the primary point of contact for dental surgeons clarify prescription instructions, manage shade requests, and provide real-time status updates to clinics.
Stock Level Monitoring: Conduct regular audits of physical stock for essential materials, including zirconia blocks, milling burs, 3D printing resins, and finishing porcelains.
Procurement & Ordering: Prepare purchase orders and coordinate with suppliers to ensure zero downtime in production. Track lead times and ensure the lab maintains a buffer of Default Material selections.
Logistics Coordination: Manage the daily production calendar to meet Due-Out dates coordinate local courier pickups and deliveries for clinical accounts.
Financial Administration: Process daily invoicing, manage monthly billing statements, and assist in monitoring accounts receivable.
REQUIREMENTS & QUALIFICATIONS
Experience: Previous experience in a dental laboratory or clinical setting is highly preferred.
Technical Literacy: Proficiency in MS Office (Excel is essential for inventory tracking), Familiarity with dental CAD/CAM file management is an advantage.
Communication Skills: Excellent verbal and written professional communication for client-facing correspondence.
Detail Orientation: Exceptional accuracy in data entry and physical inventory counting ability to spot technical discrepancies in prescriptions.
Performance Metric: The successful candidate will be evaluated on the accuracy of case registration, client satisfaction ratings, and the elimination of production delays caused by material stock-outs.
