Responsibilities:
Reception & Front Desk Duties
- Answer incoming calls and provide basic information on meeting room availability and usage.
- Greet and attend to visitors and guests professionally guide them to designated meeting rooms.
- Coordinate with internal users on meeting room setup and event log utilization.
- Manage the booking system and ensure all equipment is returned in good working condition.
- Maintain and update event log records.
- Keep the reception area clean, organized, and presentable at all times.
- Conduct routine checks to ensure meeting rooms are tidy and properly equipped.
- Ensure all devices, lighting, and equipment are switched off when not in use.
Facilities Support
- Coordinate catering arrangements for events and training sessions.
- Ensure all AV equipment in meeting rooms are functional and ready for use.
- Assist with meeting room setup and reinstatement before and after events.
- Support trainers/facilitators with AV adjustments including presentations, microphones, and sound systems.
- Replace microphone batteries as needed.
- Provide on-site support during and after office hours for events.
- Ensure blinds are drawn and rooms are cleared of rubbish, especially on Fridays.
Administrative Duties
- Manage and maintain the reception logbook.
- Oversee the lounge library and update the loan record book.
- Track and manage issuance of laptops, gadgets, and other loose assets.
- Assist in creating and printing event posters and notices.
- Update classroom Wi-Fi information and print relevant notices for bulletin boards.
Other Responsibilities
- Serve refreshments to staff and guests during meetings.
- Assist with event attendance tracking and reporting.
Requirements
- Minimum GCE O Level or equivalent diploma holders preferred.
- Prior experience in customer service, front desk, or facilities coordination is an advantage.
- Strong interpersonal and communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Able to work independently and as part of a team.
- Willing to support events outside regular office hours when required.
