Provide administrative support to the Crewing Department in all aspects of seafarer personnel management, including payroll verification and related checks
Maintain and update crew deployment schedules for assigned vessels, ensuring rotation plans are properly tracked and monitored
Coordinate with external stakeholders such as manning agents, vessel masters, port agents, and travel service providers to facilitate smooth crew changes, including international operations
Assist in arranging travel logistics for crew movements in coordination with relevant service providers
Support documentation processes required prior to vessel assignment, including regulatory endorsements where applicable
Organize pre-departure briefings and post-assignment debriefings for seafarers when required
Monitor and review port-related expenses and crew change cost statements submitted by external agents for accuracy and consistency
Assist in the review and reconciliation of vessel monthly reports prepared by shipboard personnel
Coordinate cash advance requirements for vessel operations when necessary
Assist in verifying crew entitlements such as leave, allowances, benefits, and contractual payments
Maintain and update accurate crew records, including certifications, medical documents, visas, training records, and sea service history in line with compliance requirements
Perform any other administrative or operational duties as assigned by management
Qualifications
Diploma holder with relevant shipping industry experience
Team player with ability to multitask
Good analytical skills, detail-oriented and organized
Positive attitude with good communication and interpersonal skills
Experience with DNV GL ShipManager is an advantage
