The Financial Markets Association of Singapore (FMAS) is seeking a self-driven and highly organised Corporate Support Assistant / Executive to join our team. As a Corporate Support Assistant / Executive, you will have a dual roles in the Association's accounts and administrative support.
The right person for the Corporate Support Assistant / Executive position will be highly organised, meticulous multitasker with a keen eye for details. You are expected to be a relationship builder, good communicator and be timely and organised in managing follow-ups, time and tasks.
Responsibilities:
Accounting
- Manage full sets of accounts, including Accounts Payable (AP), Accounts Receivable (AR), General Ledger (GL), journal entries, and bank reconciliations.
- Perform month-end and year-end closing activities and preparation of financial statements for audit.
- Prepare monthly management reports.
- Process petty cash, staff claims, supplier payments and receipts.
- Prepare and submit GST returns in a timely and accurate manner.
- Maintain schedules for prepayments, accruals, and fixed asset depreciation.
- Liaise with external auditors, tax agents, and corporate secretarial service providers.
- Monitor outstanding receivables and follow up on billing discrepancies and payment collections.
- Prepare and monitor project, event and activity profit and loss projections
Administration
- Support membership renewal and recruitment activities, including onboarding.
- Coordinate projects, events and activities, including manage attendees, sponsors, volunteers, suppliers, vendors and stakeholders.
- Manage team and project calendars, scheduling meetings, and coordinating appointments.
- Produce and distribute detailed and comprehensive minutes of meetings, reports and presentations.
- Handle calls, emails, and correspondences.
- Maintain and manage the organisation's online and physical filing and records management systems.
- Maintain and manage membership and stakeholder records and databases.
- Manage membership and stakeholder communications, including social media and website.
- Process claims, payroll and maintain accurate employee records.
- Assist in implementing HR policies and ensuring compliance with company procedures.
- Provide general office administrative support and undertake other ad hoc duties as assigned.
Requirements
- Diploma in Accountancy, ACCA, LCCI, or equivalent qualifications.
- At least two (2) years of relevant experience in accounting (preferably full set of accounts for a Singapore-registered and GST-registered entity), finance, administration and human resources
- Good understanding of accounting principles, financial processes, financial governance and relevant regulatory and compliance requirements.
- Proficient in Microsoft Office, particularly Excel and Powerpoint
- Proficient in QuickBooks and Canva
- Strong time management skills with the ability to multitask, prioritise and follow through on multiple projects and tasks simultaneously.
- Strong interpersonal skills and the ability to work effectively with internal and external stakeholders.
- Proactive and critical thinker with a collaborative, team-oriented mindset.
- Able to work independently with minimal supervision.
- Strong organisational, analytical, and problem-solving skills.
- Excellent communication skills, both verbal and written in English
