Job Summary:

As a Corporate Secretarial Associate, we are looking for a meticulous and driven individual who will be responsible for supporting a portfolio of clients with corporate compliance and governance matters. This role calls for an individual who is focused, dynamic and ready to work in a fast-paced environment.

Key Responsibilities:

  • Manage a portfolio of corporate clients, being a key POC for client queries and ensuring compliance with statutory requirements.
  • Prepare and file incorporation documents, annual returns, board resolutions and other relevant documents, and prepare annual reports, adhering to regulatory timelines.
  • Maintain and update statutory registers and corporate records using corporate secretarial software.
  • Organize and coordinate board and shareholder meetings, including preparation of notices, agendas, resolutions, and minutes.
  • Support clients with immigration-related administrative duties, including applying for Employment Passes and renewals.
  • Assist with due diligence processes, corporate restructuring, share transfers, and liquidation matters.

Requirements:

  • 2–6 years of experience in a corporate secretarial role, preferably within a law firm or corporate services provider.
  • A degree in Corporate Secretarial Studies (preferably from UTAR or a recognized institution), Business Administration, Law, or Accountancy is mandatory.
  • Proficiency in corporate secretarial software such as Viewpoint or equivalent.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal, with a professional demeanour.
  • Ability to handle confidential information with discretion and sound judgment.
  • Adaptable and capable of working independently in a deadline-driven environment.
